Service & Scheduling Coordinator (HVAC)

Job Summary

We are seeking a confident, organized, and people-oriented HVAC Service Coordinator to join our team. This role is essential to keeping our daily operations running smoothly while delivering an outstanding customer experience.

You’ll be the first point of contact for our customers—whether they’re calling in or you’re reaching out to them—so we’re looking for someone who is comfortable on the phone, confident in conversations, and brings a bit of that “Nebraska Nice” to every interaction.

The ideal candidate is highly organized, tech-savvy, and thrives in a fast-paced environment where priorities can shift throughout the day.

What You’ll Do

  • Answer inbound calls with professionalism and empathy
  • Confidently make outbound calls to customers to schedule service and maintenance
  • Dispatch and schedule multiple technicians efficiently based on location, urgency, and skillset
  • Gather accurate customer and job information and enter it into company systems
  • Use Microsoft Office (Word, Excel, Outlook) for scheduling, communication, and basic tracking
  • Utilize tools like Google Maps to help optimize technician routes
  • Manage calendars and appointment scheduling
  • Provide timely follow-up and clear communication with customers
  • Maintain organized and accurate records

  • Able to “play Tetris” with a schedule—balancing technicians, locations, and urgent calls as they come in
  • Thrives in a fast-paced environment where priorities shift throughout the day
  • Thinks on their feet and enjoys solving moving puzzle-type challenges

Strong Computer Skills

  • Comfortable navigating multiple programs at once
  • Working knowledge of Microsoft Word, Excel, and Outlook
  • Able to perform online searches and use tools like Google Maps efficiently
  • General computer confidence—able to learn new systems quickly

Professional & Personable

  • Friendly, reliable, and calm under pressure
  • Represents the company well in every customer interaction

Pay: $20.00 - $28.00 per hour

Expected hours: 40 per week
