Key Responsibilities
- Maintain, organize, and control all site documentation and records in accordance with company procedures.
- Coordinate communication between site team, head office, subcontractors, consultants, and suppliers.
- Prepare daily, weekly, and monthly reports, timesheets, letters, and official correspondence.
- Monitor staff attendance and maintain accurate manpower records.
- Handle material requests, delivery notes, gate passes, and related site documentation.
- Maintain updated logs for incoming and outgoing documents (drawings, RFIs, submittals).
- Assist in tracking purchase orders and coordination with procurement department.
- Support the Project Manager and site engineers in day-to-day administrative activities.
- Arrange meetings, prepare minutes of meetings (MOM), and follow up on action items.
- Ensure proper filing and archiving of project documents (hardcopy and electronic).
- Coordinate with HR for site staff documentation, leave records, and payroll inputs.
- Maintain office supplies inventory and ensure smooth site office operations.
Key Requirements
- Proven experience as a Site Administrator in building construction projects (GCC experience preferred).
- Strong knowledge of construction site documentation and administrative processes.
- Proficiency in MS Office applications (Word, Excel, Outlook).
- Familiarity with document control systems is an advantage.
- Good communication and coordination skills.
- Ability to multitask and work under pressure in a fast-paced site environment.
- Bachelor’s Degree or Diploma in Business Administration or related field.
- Previous experience working on construction sites is preferred.
