Role Overview
The Spa Receptionist is the first point of contact for clients, responsible for providing a warm welcome, handling reservations, and ensuring a seamless guest experience. This role requires strong customer service skills, organization, and the ability to manage administrative tasks efficiently. The Spa Receptionist will contribute to maintaining the spa’s professional image and delivering an outstanding client experience.
Key Responsibilities
· Guest Relations & Customer Service
o Greet clients warmly and confirm their scheduled treatments or services.
o Provide guidance on spa procedures and answer client inquiries in a professional manner.
o Inform clients about promotions, discounts, and new beauty products available.
o Obtain and document guest feedback regarding treatments and overall experience.
o Assist in resolving customer complaints and escalate issues as needed.
· Front Desk & Administrative Duties
o Open and close the spa at designated times.
o Maintain a clean and organized reception area.
o Handle incoming calls, provide accurate information, and confirm appointments.
o Manage the visitor register to track daily spa visitors.
o Schedule and update client appointments, ensuring smooth workflow for service providers.
o Notify spa staff of last-minute cancellations or walk-in clients.
o Maintain an up-to-date register of loyal and long-term clients.
· Financial & Inventory Management
o Process client payments for services and products.
o Handle petty cash requests and deposits as needed.
o Ensure proper handover of cash, client records, and shift reports before leaving work.
o Check inventory levels and place orders with the Inventory Controller when necessary.
· Marketing & Promotions
o Assist in developing and implementing promotional events to attract new clients.
o Educate clients on beauty products and recommend suitable treatments based on their needs.
o Promote available spa services and loyalty programs to enhance customer engagement.
· Compliance & Team Collaboration
o Attend and actively participate in staff meetings and training sessions.
o Maintain punctuality for appointments, meetings, and team functions.
o Adhere to company grooming and uniform standards.
o Follow standard operating procedures (SOP) and ensure compliance with company policies.
Qualifications & Experience
· Education & Certifications
o High school diploma or equivalent (additional qualifications in hospitality or administration are a plus).
o Knowledge of spa or wellness services is an advantage.
· Skills & Competencies
o Strong interpersonal and communication skills.
o Excellent organizational and time management abilities.
o Ability to multitask and work efficiently under pressure.
o Proficiency in using appointment booking software and Microsoft Office applications.
Self-motivated and able to work independently or as part of a team.
