Sr Business Analyst - Mortgage Systems

Position Summary

The SR Business Analyst - Mortgage Systems is a specialized role within the Operational Excellence team, purpose-built to bridge mortgage operations knowledge and Vesta LOS system configuration. As the Vesta LOS pilot moves toward full production and the organization scales its loan channel capabilities, the demand for deep configuration knowledge, workflow translation, and requirements precision continues to grow. This role was created to meet that demand — and to ensure the OE team has the depth needed to deliver at pace.

What sets this role apart from a traditional business analyst is the expectation of hands-on understanding of how Vesta is structured — objectives, tasks, relevancy logic, field IDs, and automation rules — so that requirements do not stop at the 'what' but extend to the 'how it configures.' The successful candidate is a natural translator: someone who can observe what a user does today and articulate exactly what that workflow looks like inside Vesta.

This is a high-impact, highly visible role for someone who wants to go deep on mortgage technology and become a true subject matter expert in LOS configuration. The SR Business Analyst - Mortgage Systems will work directly alongside the OE Manager, building configuration fluency over time and expanding the team's collective ability to support an enterprise-scale LOS implementation.

Specific Duties and Responsibilities

Workflow Analysis & Configuration Translation

  • Analyze current-state mortgage workflows across all loan channels (Retail, Wholesale, Conventional, FHA, VA, USDA, Non-Agency, DPA) and translate them into Vesta LOS configuration requirements.
  • Document workflows at the task, objective, and logic level — identifying how existing processes map to Vesta construct such as objectives, tasks, relevancy rules, automation triggers, and field behaviors.
  • Produce configuration-ready requirement specifications using precise Vesta terminology: objective names, task names, field IDs, eligibility logic, and expected system behavior.
  • Partner with the OE Manager to understand configuration patterns and become capable of independently scoping configuration changes for review and approval.

Ticket Intake & Backlog Support

  • Own the intake and triage of Vesta pilot and Solutions Delivery tickets — translating user-reported symptoms into properly scoped configuration tickets that the admin team can act on without back-and-forth.
  • Apply Vesta configuration terminology to all ticket submissions, including objective name, task name, field reference, expected behavior, and configuration scope.
  • Support the OE Manager in clearing the open backlog of Solutions Delivery and pilot tickets by preparing fully formed requirements documents for pending items.
  • Track ticket status, blockers, and resolution timelines; provide regular reporting to the OE Manager.

Requirements Gathering & Documentation

  • Collaborate with Operations, Underwriting, Closing, Disclosure, and Account Management SMEs to gather requirements for new features, product launches, and workflow enhancements.
  • Produce Business Development Requirements documents that articulate both functional and configuration-level requirements, suitable for handoff to the Vesta admin team or for OE Manager review.
  • Ensure requirements move beyond 'what users need' to 'what Vesta must do' — producing configuration-level specifications that are immediately actionable by the Vesta admin team.
  • Maintain organized requirements and workflow documentation within project management tools (Jira, ClickUp, or equivalent).

Configuration Knowledge & Team Depth

  • Develop working knowledge of Vesta configuration architecture sufficient to contribute independently to configuration scoping, requirements writing, and workflow design discussions.
  • Participate in configuration review sessions, CRB decisions, and workflow design discussions alongside the OE Manager to build institutional knowledge.
  • Maintain configuration documentation, including workflow maps, objective/task inventories, and relevancy logic guides, to ensure configuration knowledge is shared and accessible across the team.
  • Identify documentation gaps in existing Vesta configuration and recommend improvements to support team scalability and onboarding.

Product Launch & UAT Support

  • Assist in requirements gathering and configuration scoping for new product launches including VA, USDA, Non-Agency, and DPA.
  • Support UAT cycles by reviewing test scenarios against configuration requirements and flagging gaps between expected and actual system behavior.
  • Coordinate with the Sr. Test Lead to ensure that test cases reflect the configuration-level intent of each workflow — not just the user-facing behavior.
  • Contribute to Closing & Funding UAT completion and other deferred testing cycles as prioritized by the OE Manager.

Vendor & System Integration Awareness

  • Develop working knowledge of third-party integrations connected to Vesta — including SmartFees, AUS engines (DU/LPA), pricing engines, and STAR — to understand how configuration decisions interact with downstream system behavior.
  • Participate in vendor discussions and system release reviews as needed to understand upcoming changes that may impact configured workflows.
  • Flag integration-related configuration risks during requirements development — identifying where a workflow change in Vesta may affect a connected system or trigger an unexpected downstream result.
  • Maintain awareness of the Vesta product roadmap and vendor release notes to proactively identify configuration opportunities or impacts relevant to current workstreams.

Change Management & Stakeholder Communication

  • Support the Manager of OE in communicating workflow and configuration changes to impacted operations teams — translating technical configuration updates into plain-language summaries that users can act on.
  • Assist in developing training materials, quick reference guides, and workflow documentation for end users when new features or configuration changes are released to production.
  • Participate in CRB (Configuration Review Board) meetings as a requirements and workflow resource — providing context on business need and workflow rationale to support configuration decisions.
  • Track open requirements items, pending decisions, and stakeholder approvals across active workstreams; provide regular status updates to the Manager of OE.
  • Work closely with Operations and the Ops Support team to improve the quality of ticket submissions — coaching team members on how to describe issues in configuration-actionable terms.
  • Partner with the Sr. Test Lead on requirements traceability — ensuring that what was configured aligns with what is tested.
  • Engage with Compliance, Risk, and Business stakeholders as needed to support CRB decision items and workflow reviews.
  • Communicate clearly across technical and non-technical audiences, translating configuration detail into plain business language and vice versa.

Preferred Qualifications and Experience

Experience

  • 3–5+ years of mortgage operations, mortgage technology, or LOS support experience.
  • Direct experience with Vesta LOS strongly preferred; experience with Encompass, Empower, or similar enterprise LOS platforms considered.
  • Demonstrated experience as a Business Analyst, Systems Analyst, or LOS Analyst in a mortgage or financial services environment.
  • Proven ability to analyze mortgage workflows and translate them into system-level requirements or configurations.
  • Experience managing requirements through a full project lifecycle — from discovery and documentation through UAT validation and production release.

Technical & Domain Knowledge

  • Working knowledge of Vesta LOS architecture — objectives, tasks, relevancy logic, field IDs, and automation rules — or the ability to develop this knowledge quickly under mentorship.
  • Understanding of mortgage loan workflows across multiple channels and product types including Conventional, FHA, VA, USDA, Retail, and Wholesale.
  • Familiarity with TRID, AUS (DU/LPA), pricing engines, fee engines (SmartFees), and document automation concepts.
  • Comfort working in ticket and project management systems such as Jira, ClickUp, or equivalent.

Analytical & Communication Skills

  • Strong analytical skills with the ability to move fluidly between business process thinking and technical configuration language.
  • Exceptional written communication skills — capable of producing requirement documents that are precise, complete, and immediately actionable.
  • Ability to ask the right discovery questions of SMEs who may not know how to articulate their needs in system terms.

Physical and Work Conditions

Standard office environment, equipment, and tasks, including work at a computer terminal. This position requires partial sitting and walking throughout the day. Employees must be open to working overtime to the requirements of the role.

Job Type: Full-time

Pay: $75,000.00 - $90,000.00 per year
