Staff Accountant

Job Overview
The Staff Accountant is responsible for supporting the financial operations of MedicoCX through accurate bookkeeping, expense management, rebate tracking, and accounts payable processing. This role plays a key part in maintaining accurate financial records, processing expense reports, managing vendor invoices, supporting rebate calculations and reconciliations, and assisting with month-end close activities.

Working closely with the Vice President of Finance, the Staff Accountant ensures financial data integrity, supports operational efficiency, and contributes to the organization’s financial transparency and compliance. The Staff Accountant will also support financial data analysis and reporting initiatives that help leadership understand operational performance, identify trends, and improve financial decision-making as MedicoCX continues to scale.

Duties

1. Bookkeeping & Financial Record Management

  • Maintain accurate financial records within the company’s accounting system (e.g., Xero).
  • Record daily financial transactions, including accounts payable entries, expense entries, and general ledger updates.
  • Assist with monthly bank and credit card reconciliations.
  • Support month-end and year-end close processes, including journal entries and account reconciliations.
  • Ensure financial records are organized, accurate, and compliant with company policies and accounting standards.

2. Accounts Payable & Expense Management

  • Process vendor invoices and ensure proper coding, approvals, and documentation.
  • Review and process employee expense reports to ensure accuracy and compliance with company policies.
  • Coordinate expense reimbursements and track outstanding expenses.
  • Manage payment scheduling and assist with vendor inquiries.
  • Maintain vendor records and documentation.

3. Rebate Tracking & Financial Reconciliation

  • Maintain rebate tracking schedules and supporting documentation.
  • Assist with calculating rebates based on manufacturer agreements and program volume data.
  • Reconcile rebate payments and investigate discrepancies.
  • Prepare rebate reports and documentation for finance leadership.
  • Ensure rebate calculations and disbursements align with contractual agreements.

4. Financial Reporting Support

  • Assist in preparing internal financial reports, reconciliations, and data analysis related to rebates, expenses, and operational performance.
  • Analyze financial and operational data using Excel or Google Sheets to support leadership reporting and decision-making.
  • Maintain organized documentation supporting financial transactions, reporting schedules, and reconciliations.
  • Assist the Vice President of Finance with ad-hoc financial analysis and operational reporting requests.
  • Support financial audit preparation and documentation as needed.

5. Operational & Process Support

  • Assist with improving financial tracking systems and accounting workflows.
  • Support documentation of financial processes and standard operating procedures.
  • Collaborate with internal teams to ensure financial data accuracy and proper reporting.
  • Provide administrative support for financial operations when needed.

6. Internal Controls & Compliance

  • Ensure compliance with internal financial controls and company policies.
  • Maintain accurate documentation supporting financial transactions, rebate calculations, and expense reporting.
  • Assist with maintaining financial audit readiness and compliance with applicable accounting standards.
  • Record daily financial transactions, including accounts payable entries, expense entries, and general ledger updates.
  • Assist with monthly bank and credit card reconciliations.
  • Support month-end and year-end close processes, including journal entries and account reconciliations.
  • Ensure financial records are organized, accurate, and compliant with company policies and accounting standards.

Experience:

  • 2–5 years of accounting or bookkeeping experience preferred
  • Experience with accounts payable, expense reporting, financial reconciliations, or general ledger maintenance
  • Experience with accounting software such as Xero, QuickBooks, or similar systems preferred
  • Experience in healthcare, pharmaceutical services, or professional services environments is a plus

Technical Skills:

  • Proficiency in accounting software such as Xero, QuickBooks, or similar platforms
  • Advanced proficiency in Microsoft Excel or Google Sheets, including functions such as Pivot Tables, VLOOKUP/XLOOKUP, data analysis, and financial reporting models
  • Ability to analyze large datasets and build financial tracking tools and reconciliation schedules
  • Experience developing financial dashboards, reporting templates, and operational data tracking models
  • Ability to manipulate and interpret financial data to support leadership decision-making

Pay: $57,500.00 - $75,000.00 per year
