Job Description

Classification: Hourly
Reports to: Chief Operations Officer
Type: Part-Time
Location: Office

SUMMARY:
The Staff Experience and Recruiting Assistant will facilitate recruiting and onboarding as well as promoting a positive workplace culture.

ESSENTIAL DUTIES AND RESPONSIBILTIES

Recruiting & Onboarding
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Maintains the integrity and confidentiality of human resource files and records. Including records maintained both in paper and through the current FSA contracted Human Resource Information System (currently Paycor).
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Answers questions from applicants
  • Assists in recruitment of interns and staff positions; will screen, schedule candidates, check references, and complete all new hire paperwork
  • Sources and attends career fairs to increase presence and recruit for interns and staff positions
  • Conducts and assists with new hire orientation
  • Conducts required background checks for staff including a social media background check and Faith’s law background check.
  • Do an overview of the Employee Handbook twice a year.
  • Provide staff website updates and social media announcements.
  • Provide recruitment and FSA related flyers to networking partners and groups.
  • Create & updates user ID & credentials for new staff in client Electronic Health Record.
  • Provides support to the HR & Communications Manager, as needed.
  • Assists with planning and execution of special events, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Participates as a member of the Better Together Crew
  • Assists in creating monthly agency newsletter
  • Continuously works to provide opportunities for collegiality in the agency, (ie. Staff Volunteer Day)
  • Ensures compliance with all federal, state, and local employment laws.
  • Coordinates, updates, and evaluates onboarding program in tandem with the Training Coordinator.
  • Aid in staff retention and in building and supporting an engaged workforce.
  • Performs other duties as assigned.
OTHER DUTIES
  • Attend and participate in staff meetings and trainings as assigned.
  • Attend work related trainings and document attendance.
  • Participate in agency risk management and performance quality improvement activities.
  • Complete any special projects as assigned by the supervisor.
  • Perform all responsibilities with a positive attitude, promoting congeniality in the workplace by working with others.
  • Perform incidental business-related travel as necessitated by position.

SUPERVISORY RESPONSIBILITY
This role has no supervisory responsibilities.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work
This is a part-time hourly position that is expected to work 15 to 20 hours per week.
Hourly Pay Rates
  • In accordance with Illinois state law, we are committed to transparency in compensation. The hourly pay range for this position is $20 to $26, depending on experience and qualifications
  • In addition to base pay, we offer a comprehensive benefits package and opportunities for professional development and growth.
TRAVEL
This position requires medium travel mostly within Kane County, with some additional travel outside of that area.

EDUCATION AND EXPERIENCE
  • Bachelor’s degree in related field preferred.
  • Prior related office experience preferred.
Required Skills/Abilities:
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
