Staffing Coordinator

OVERVIEW

The primary responsibilities of the Staffing Coordinator is to create and maintain Nursing staff schedules, track attendance, monitor lateness and absences, minimize overtime, and provide reports to management related to productive and non-productive hours. The Staffing Coordinator is expected to work with the Human Resources department to maintain current contact information on all staff and ensure all employees are complying with employment procedures related to attendance.

Job Responsibilities

This role is critical to maintaining appropriate staffing levels, minimizing overtime, and supporting compliance with attendance and scheduling policies

  • Create, post, and maintain monthly staff schedules

  • Post and fill open shifts in a timely manner

  • Track and document call-offs, tardiness, early arrivals, and absences

  • Work closely with HR to ensure attendance policies are applied consistently

  • Notify HR of potential FMLA or leave-of-absence needs

  • Monitor daily PPD, staffing levels, and overtime usage

  • Alert HR of terminations or no-call/no-shows for timely replacement

  • Maintain accurate employee phone and email contact lists

  • Contact employees to fill open shifts as needed

  • Coordinate new hire orientation schedules with HR

  • Assist new employees with understanding facility routines and policies

  • Prepare and distribute daily staffing and attendance reports to leadership

  • Notify HR of employee status changes (e.g., PT to FT)

  • Support staffing cost control and Nursing labor management

  • Submit daily attendance documentation to payroll

  • Prepare accurate daily staffing schedules for each shift

  • Communicate staffing challenges to the DON/ADONs

  • Maintain PTO and schedule change request records

  • Assign and manage pool staff within the timekeeping system

  • All other duties assigned by DON/NHA

Qualifications

  • Graduate of an accredited high school or GED preferred

  • Previous staffing experience is required

  • Experience in a long-term care setting required

  • Prior experience with Stafflion and Empeon is highly preferred

  • Ability to work independently and collaboratively

  • Effectively communicate with others
