Position Summary

The Staffing Coordinator is responsible for coordinating daily and long-range staffing for clinical and non-clinical departments, ensuring safe, cost-effective coverage that aligns with patient census and operational needs. This role manages schedules, handles call-ins and open shifts, collaborates with leadership on staffing decisions, and supports HR filing as needed to maintain regulatory compliance.

Key Responsibilities

  • Develop, maintain, and adjust daily and master schedules for assigned departments, ensuring appropriate coverage for all shifts.
  • Monitor census, acuity, and staffing levels; proactively adjust assignments and staff mix to meet patient care and operational needs.
  • Respond promptly to call-ins, absences, and shift changes; fill open shifts using PRN, float pool, and approved agency staff according to policy.
  • Communicate staffing changes and variances to department leaders (e.g., DON, Nurse Managers, HR, Payroll) in a timely manner.
  • Track attendance, tardiness, and unscheduled absences and provide reports to managers per facility policy.
  • Process and document PTO and schedule change requests in accordance with established guidelines.
  • Maintain accurate data in scheduling/timekeeping systems and collaborate with Payroll to support accurate time and pay.
  • Support recruitment activities as needed, including posting positions, coordinating interviews, and assisting with pre-boarding/onboarding tasks.
  • Ensure compliance with internal staffing policies, union/contract terms (if applicable), and federal and state labor regulations (e.g., overtime, rest periods).
  • Prepare routine and ad-hoc staffing reports and metrics for leadership (e.g., open shifts, overtime, agency utilization).
  • Provide courteous, professional customer service to staff, leaders, and external partners.

Qualifications

  • High school diploma or GED required, associate’s or bachelor’s degree in Human Resources, Business, Healthcare Administration, or related field preferred.
  • Minimum 2 years of experience in staffing, scheduling, or HR coordination; prior healthcare or 24/7 operation experience strongly preferred.
  • Experience using workforce scheduling or timekeeping systems (Homebase, ,ADP, or similar).
  • Working knowledge of staffing practices, overtime rules, and basic labor regulations.
  • Strong organizational, time-management, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal and written communication skills; ability to build positive relationships with staff at all levels.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); comfort with learning new software systems.

Schedule

  • Full-time, primarily Monday–Friday, with occasional evenings, weekends, or holidays as needed to support staffing operations.

Pay: $15.00 - $20.00 per hour
