Compensation

Affordable Home Care is a Delaware-licensed personal assistance agency providing in-home support services throughout New Castle and Kent Counties.

Our Wilmington office operates in a fast-paced, performance-driven environment where responsiveness, organization, and ownership are essential. We are strengthening operations and building a team of professionals who take initiative and move cases forward without delay.

Position Overview

We are seeking a confident and decisive Staffing and Scheduling Coordinator to lead intake calls, coordinate caregiver coverage, and ensure services begin efficiently and without interruption.

This role requires someone who is comfortable working in a_ growth-phase_ environment where processes evolve and accountability is expected. Initiative is essential.

This position requires decisiveness and confidence. Passive or reactive work styles are not a fit.

Experience in a home care environment is required.

Schedule:

  • Monday through Friday, 9:00 AM to 5:00 PM
  • Participation in an on-call rotation
  • Occasional local travel for supervisory visits and community or marketing events

Core Responsibilities

Intake & Client Communication

  • Answer inbound calls from prospective clients and families
  • Lead structured, confident conversations to assess needs
  • Clearly explain services and next steps
  • Follow up consistently to move cases toward service start
  • Convert inquiries into active cases

Staffing & Scheduling Coordination

  • Match caregivers to client cases quickly and effectively
  • Maintain accurate schedules in advance
  • Respond immediately to call-outs, emergencies, and coverage gaps
  • Ensure continuity of services at all times
  • Participate in after-hours on-call rotation

Caregiver Recruitment & Oversight

  • Support sourcing, screening, and onboarding of caregivers
  • Maintain organized personnel documentation
  • Monitor scheduling reliability and attendance issues

Operational Accountability

  • Track intake volume, staffing coverage, and service starts
  • Maintain accurate and organized documentation
  • Communicate proactively with leadership regarding operational risks

Qualifications (Required)

  • Minimum of two years of experience in scheduling, staffing, coordination, or office administration
  • High school diploma or GED required; associate’s or bachelor’s degree preferred
  • Strong computer skills, including data entry, email, and basic office applications
  • Experience managing schedules, handling call-outs, coordinating coverage, and maintaining documentation
  • Strong organizational and time-management skills
  • Ability to manage multiple schedules and shifting priorities
  • Professional customer service experience
  • Reliable transportation and willingness to travel locally (approximately 20 percent)
  • Strong verbal and written communication skills
  • Dependable, accountable, and able to work independently as well as part of a team
  • Bilingual English/Spanish preferred, not required
