- Inventory Control: Implement and maintain a comprehensive inventory management system (e.g., using ERP software) to track all incoming and outgoing materials, ensuring accurate stock levels at all times.
- Receiving & Issuance: Oversee the proper receiving, inspection, and documentation of all delivered goods, verifying quality and quantity against purchase orders (POs). Coordinate the timely and accurate issuance of materials to internal departments based on approved requisitions.
- Organization: Maintain a clean, safe, and highly organized store/warehouse environment, optimizing storage space and ensuring easy accessibility to all items.
- Stocktaking: Conduct regular cycle counts and full physical inventory counts to reconcile stock records and investigate discrepancies.
- Security: Ensure the security of all stored assets and materials, controlling access to the store area.
2. Procurement
- Requisition Processing: Receive and review purchase requisitions, clarifying specifications and timelines with the requesting departments.
- Sourcing & Vendor Management: Identify and evaluate reliable suppliers, conduct market research, and maintain a comprehensive database of qualified vendors.
- Quotation & Negotiation: Request quotations, analyze pricing and terms, and negotiate with suppliers to achieve the best value for money while maintaining high-quality standards.
- Purchase Order Management: Prepare, issue, and track Purchase Orders (POs) in accordance with company policies and approved budgets.
- Expediting: Follow up with vendors on delivery schedules to ensure timely material arrival and resolve any procurement-related issues.
