1. Material Receiving & Inspection

  • Receiving Goods: Receive all incoming materials, tools, and equipment delivered to the site store, including those from the Procurement department and external vendors.
  • Inspection & Verification: Conduct a thorough physical inspection of all received items, verifying quantity, quality, and specifications against the Purchase Order (PO), Delivery Note (DN), and approved Material Submittals.
  • Documentation: Prepare and process accurate Goods Received Notes (GRN) for all acceptable deliveries, noting any discrepancies, damages, or shortages immediately and escalating them to the Site Engineer and Procurement team.
  • QA/QC Coordination: Coordinate with the Site QA/QC Engineer to ensure all delivered materials requiring quality inspection are checked and approved before being moved to stock.

2. Inventory Management & Stock Control

  • Storage & Organization: Organize and arrange materials within the store, laydown areas, and designated storage locations, ensuring materials are easily accessible, clearly labelled, and stored correctly (e.g., following FIFO principle, proper stacking, and protection from weather damage).
  • Record Keeping: Maintain accurate, up-to-date, and systematic inventory records (hard and soft copies) using the company's Inventory Management System or ERP (e.g., SAP, Excel Sheets).
  • Issuance: Issue materials, tools, and consumables to site engineers and foremen only upon receipt of duly authorized Material Requisition Forms (MRF/SRT).
  • Reconciliation & Reporting: Conduct regular physical stock counts (daily, weekly, or monthly) and reconcile them with system records. Report any variances or stock discrepancies to the Site/Project Manager.

3. Tools & Equipment Management

  • Tool Control: Manage the sign-in/sign-out register for hand tools, power tools, and minor equipment issued to workers, ensuring tools are returned in good condition.
  • Maintenance & Calibration: Monitor the condition of all tools and equipment, reporting any need for repair, maintenance, or calibration to the appropriate department (e.g., Workshop or Logistics).
  • Disposal: Identify and report damaged, obsolete, or surplus materials/tools for management review and subsequent disposal or transfer.

4. Safety, Security, and Housekeeping

  • Security: Ensure the site store is secure at all times, controlling access and preventing unauthorized material removal.
  • Housekeeping: Maintain high standards of cleanliness, organization, and tidiness within the store area and surrounding laydown yards.
  • Safety Compliance: Ensure all material handling and storage practices adhere to the company's health, safety, and environmental (HSE) policies, including proper stacking heights and safe use of material handling equipment.

5. Coordination & Communication

  • Material Forecasting: Coordinate closely with Site Engineers and Project Planners to monitor material consumption rates and assist the Procurement team in forecasting future material requirements to prevent project delays.
  • Logistics: Coordinate with truck drivers and logistics personnel for the delivery and collection of materials.
