SummerWorks is Rowland Hall’s dynamic summer camp program, serving children ages 4–13 in an engaging and enriching environment. Position Summary

The SummerWorks office assistant provides administrative and operational support to ensure the smooth running of camp. This role assists with family communication (phone calls, emails, and in-person conversations), waivers, supply inventory (including snacks and first aid supplies), mentors staff, supports camper groups as needed, and manages technology-based tasks. The office assistant also supports staff training, camper rosters, and program activities while helping maintain an organized, safe, and engaging environment for campers and staff. Ideal candidates are organized, detail-oriented, and proactive team players who enjoy working with children. They should have strong interpersonal skills and maintain a positive, flexible attitude.

Primary Job Responsibilities

Administrative tasks:

  • Assist with organizing, planning, and facilitating staff training
  • Assist with phone calls, emails, or in-person communication with families regarding camper schedules, minor issues, or reminders.
  • Maintain weekly group and PM Extended Care rosters, including camper info (allergies, medical needs, and authorized pick-ups)
  • Collect, organize, and distribute signed waivers to lead counselors to ensure camper participation
  • Track, restock, and organize camp supplies, including activity, snacks, and first aid materials
  • Assist with planning and executing camp events
  • Provide administrative assistance for PM Extended, including billing for drop-ins
  • Other duties as assigned

Activity & program support:

  • Assist with planning and organizing daily activities and special events alongside the leadership team
  • Help ensure transitions between activities, snack time, and check-in/checkout routines are smooth
  • Prepare materials for special camp activities and events

Staff support & morale:

  • Actively participate in pre-camp training, weekly staff meetings, and daily morning check-ins
  • Support counselors with supervision, guidance, and day-to-day needs, serving as a positive role model and demonstrating professionalism, enthusiasm, and teamwork
  • Address staff concerns or performance issues promptly and constructively, reporting significant issues to the director and assistant director within 24 hours
  • Facilitate weekly staff check-ins (informal and formal) and act as a helpful resource for counselors with administrative or program-related questions
  • Support staff morale through recognition activities, events, and daily kudos

Camper & family support:

  • Foster professional, positive connections with campers and families
  • Supervise campers as needed, ensuring their safety, well-being, and a positive experience

Program evaluation & continuous improvement:

  • Collect feedback from campers, families, and staff and share insights into program improvements with director
  • Maintain documentation of program metrics, staff evaluations, and activity outcomes

Emergency & safety support:

  • Support the director and assistant director in managing any emergency situations that may occur at camp. This may include helping campers and counselors, communicating with families, locating emergency supplies, or calling emergency responders if necessary

Skills and Requirements

  • Completed a Bachelor’s degree or currently in college (preferred)
  • 2+ years experience in recreation programming and facilitation
  • Excellent organizational skills, ability to multitask
  • Excellent interpersonal and leadership skills
  • Ability to work independently with initial guidance and direction
  • Organized, detail oriented, able to meet deadlines
  • Familiarity with Excel, Google Suite, Microsoft Word, Canva
  • Experience using social media including Facebook and Instagram
  • Flexible, positive, enthusiastic attitude and demeanor
  • Interest in and ability to work with youth ages four to fourteen, and their families

  • Work comfortably and effectively in outdoor environments, including direct sunlight and varying temperatures
  • Supervise water activities, including active participation in the water to actively support and monitor campers
  • Move easily around classrooms, the Rowland Hall McCarthey campus, and off-site locations for field trips to support various activities
  • Contribute in an organized and productive manner as a team member of the SummerWorks program
  • Lift up to 10 lbs of boxes to prepare/clean up from activities
  • communicate appropriately and effectively with constituents, including students, families, and colleagues

Additional Information

This is a seasonal, non-exempt position. The hourly rate ranges between $18.50 and $20.75 per hour, based on experience. SummerWorks has mandatory paid staff training on June 4, 5, & 6, 2026. Our camp season begins on Monday, June 8, 2026, and ends on Friday, August 7, 2026; camp staff work 8:10 am-4:00 pm daily. Leadership staff, including this position, may start before June 4. There will be no camp on June 19, July 3, and July 24. CPR and First Aid certification is required. SummerWorks offers CPR and First Aid training prior to the start of camp.
