General Summary
Supervises and coordinates the daily operations of record analysis, record processing, scanning and continuity of care release of information to ensure the integrity, completeness and accuracy of the medical record.
Duties and Responsibilities
Essential Functions:
- Monitors daily workflow and ensures established turnaround times are met.
- Conducts periodic audits of medical records to ensure compliance with productivity, quality and regulatory standards. Protects the security of the medical record and respects and maintains the confidentiality of the information.
- Assists in the preparation and distribution of documents and reports such as physician reminder notices, suspension lists, and/or other controlling documents. Informs providers and departments concerning patient record requirements and contacts those in noncompliance.
- Prepares periodic statistical reports and other documents for the Medical Records Manager.
- Sets up and maintains files and records on the shared drive and/or Health Information Management (HIM) portal which may contain confidential information at the direction of the department manager. Enters and/or retrieves data and runs any necessary medical record statistical reports and compiles the data in appropriate spreadsheets and graphics for routine departmental reporting.
- Utilizes lean, daily management to evaluate procedures, resolve problems, and implement changes to improve production.
- Manages inquiries regarding requests for continuation of care.
- Resolves HIM issues in Manager’s absence.
- Trouble shoots problem records requests and maintains regular surveillance for misfiled or missing records.
- Implements new and/or revised procedures and audit results; monitors and maintains production standards.
- Maintains the department staff schedule.
- Provides orientation and education/training as needed for the medical record specialists.
- Participates in the selection and hiring of new staff.
Common Expectations:
- Prepares work schedules, assigns personnel, evaluates work performance and makes recommendations for personnel actions. Performs work of a similar nature.
- Maintains established policies and procedures, objectives, quality assessment and safety standards.
- Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.
- Provides outstanding service to all customers; fosters teamwork; and practices fiscal responsibility through improvement and innovation.
- Participates in educational programs, in-service meetings, department meetings and LEAN projects.
Qualifications
Minimum Education:
- High School Diploma or GED Required
- Associates Degree Preferably in Health Information Management but will accept other field related degrees such as Health Informatics or training provided in a leadership position. Preferred
Work Experience:
- 2 years In an HIM/clinical office supervisor/leader related role. Required
- Supervisory experience. Preferred
Licenses:
- Registered Health Information Technician Upon Hire Preferred or
- Registered Health Information Administrator Upon Hire Preferred
Courses and Training:
- Will accept comparable certification such as Certified Clinical Office Manager or comparable leadership work experience. Upon Hire Preferred
Knowledge, Skills, and Abilities:
- Working knowledge of Microsoft Office suite products.
- Requires an intermediate degree of technical and communication/interpersonal skills, knowledge and ability.
- Excellent organizational skills with attention to detail.
- Ability to multi-task is a must.
