Position Summary

This position is responsible for the effective daily operations and regulatory compliance of the Reception, Insurance Verification, and Scheduling departments. This position also performs key functions of Imaging Access Representative, File Clerk, Insurance Verifier, and Scheduler, as outlined in those respective job descriptions. The Supervisor supports management and physicians in achieving optimal operational performance and customer satisfaction.

Essential Duties and Responsibilities

  • Supervises departmental operations to ensure efficient use of resources, consistent quality service, and timely confidential response to inquiries and requests for assistance.
  • Provides supervisory oversight of staff, including scheduling, performance management, coaching, counseling, timecard management, and administrative tasks related to employee orientation and management.
  • Organizes, prioritizes, and delegates tasks to support staff while monitoring workflow and productivity.
  • Assists management in preparing and monitoring the departmental budget to support cost-effective operations within approved allocations.
  • Assists with the development, revision, and enforcement of departmental policies, procedures, and standards to ensure quality, efficiency, and compliance.
  • Conducts research and collaborates with management and fellow supervisors to evaluate and implement new programs, services, technologies, and operational tools.
  • Leads performance improvement initiatives.
  • Monitors patient schedules to ensure smooth and coordinated operations.
  • Provides courteous, professional, and confidential customer service by greeting patients and visitors, addressing inquiries promptly, and managing phone calls efficiently.
  • Keeps patients, families, and staff informed of departmental activities and provides timely updates to patients experiencing delays, particularly those waiting more than 15 minutes past their scheduled appointment.
  • Completes all mandatory annual competencies for assigned departments.
  • Performs front-line duties in Reception, File Room, Insurance Verification, and Scheduling when needed to support operations and ensure continuity of service.
  • Maintains a clean, well-organized, and safe environment by following and supporting safety policies and procedures.

Qualifications

  • High school diploma required.
  • Associate's degree in a business-related or healthcare field preferred.
  • Proficiency in Radiology or healthcare information management systems required.
  • Two to three (2–3) years of supervisory experience preferred.
  • Experience in using computers and radiology systems preferred.
  • Proficiency in Microsoft Word, PowerPoint, and Excel preferred.
  • Excellent verbal and written communication skills required.
  • Familiarity with order facilitation processes and workflows preferred.
  • Experience identifying and resolving scheduling and account-related issues preferred.
