Tax Assistant/Team Administrator

Position Summary:
AbitOs is seeking a highly detailed, organized, and technologically savvy Team Administrator / Billing Coordinator to support our tax and accounting teams. This individual will play a key role in managing billing, processing tax filings, maintaining client data, and supporting administrative operations. The ideal candidate is proactive, bilingual (English/Spanish), and comfortable working in a fast-paced, deadline-driven environment. Overtime will be required, particularly during tax seasons (March/April and September/October).

Core Responsibilities:

  • Prepare, process, and e-file tax returns (including complex filings for international clients, high-net-worth individuals, and corporations) using UltraTax, Practice CS, and Doc-It.
  • Handle client billing, including drafting, reviewing, and processing invoices.
  • Post and reconcile client payments, coordinate retainers, and manage tax payment processes.
  • Prepare and maintain billing and accounts receivable reports.
  • Reconcile new client accounts and retainers monthly.
  • Process NSF payments, refunds, and deposits as needed.
  • Manage partners’ calendars, coordinate meetings, and assist with scheduling deadlines.
  • Maintain accurate client data and ensure timely updates to records.
  • Provide professional and responsive communication to clients and internal teams.
  • Assist with administrative duties and special projects as assigned.

Qualifications & Skills:

  • Associate or Bachelor’s degree preferred.
  • Minimum 2 years of administrative or billing experience (CPA firm experience strongly preferred).
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
  • Experience with UltraTax, Practice CS, or similar accounting software a plus.
  • Strong attention to detail, accuracy, and time management.
  • Technologically savvy and quick to learn new software.
  • Excellent written and verbal communication skills.
  • Bilingual (English/Spanish) a plus.
  • Must be able to work onsite (no hybrid or remote options).

Job Type: Full-time

Pay: $17.00 - $22.00 per hour
