Program Specialist III (Open Records & Litigation Support Specialist)
Performs complex (journey-level) consultive services and technical assistance work. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Work involves collecting, organizing, analyzing, and preparing materials related to open and closed investigative files related to open records requests. Work also involves providing internal and external customer service and performing internal administrative support work. May provide guidance to others.

This position:
  • Receives, processes, and responds to open records requests.
  • Reviews and redacts confidential information from investigation, complaint, and case files.
  • Prepares and distributes correspondence, reports, studies, forms, and documents.
  • Makes entries in the computer tracking system, makes photocopies, and answers the telephone.
  • Maintains communications with clients, opposing counsel, agencies, and the general public.
  • Assists with professional scheduling of depositions, court appearances, and client interviews.
  • Assists attorneys and investigators with litigation, including maintaining electronic case files and hearing preparation.
  • Performs other duties as assigned.

Qualifications

This position requires
:
  • Three years of experience in an office environment, administrative procedures, customer service, or in a field relative to assignment. Education and experience relevant to position requirements may be substituted for one another on a year-for-year basis.

This position requires regular work attendance. The ideal candidate must be available for weekly meetings and group collaboration via Microsoft Teams and other applications during regular business hours.

  • Developing goals and objectives.
  • Using Adobe Acrobat, PowerPoint, and Access.
This position requires the demonstrated ability to:
  • Communicate and work effectively with a wide range of people with varied skills, knowledge, and backgrounds.
  • Maintain the confidentiality of sensitive information.
  • Analyze and solve work-related problems and work independently on a variety of administrative work and technical assignments.
  • Manage and coordinate multiple tasks and priorities to meet necessary deadlines.

  • Establish and maintain positive, effective, and open communication with all levels of employees and the public.
