Role Objective:
- To coordinate day-to-day technical operations, including inspections, verification of service provider performance, and technical documentation, while supporting tendering, procurement, and CRM/ERP processes for TPOC associations.
- Handle CRM and ERP operations related to technical services for TPOC associations (work orders, cases, PRs, CPCs, etc.).
- Review and approve PRs raised for technical and maintenance services, ensuring correct coding and scope.
- Generate and follow up on CPCs and related documentation in coordination with Finance/Admin. Technical Inspections & Service Provider Verification
- Conduct technical inspections for ad hoc, corrective, and PPM works carried out by service providers.
- Verify completion of ad hoc and corrective works and confirm monthly PPM in line with contracts.
- Attend contractor site visits for ad hoc works and ensure that all work permits and access requirements are adhered to. Performance Monitoring & Reporting
- Prepare monthly KPI reports for service providers and submit to TPOC Admin / management.
- Highlight repeated issues, trends, and non-conformities to the Technical Engineer / Senior Association Manager. Tendering & Documentation Support
- Initiate RFTs and draft SoWs for projects and tenders, and submit to the Technical Engineer/Manager for review and finalization.
- Maintain and organize documentation related to tenders, projects, and technical correspondence.
- Coordinate and deal with TPOC service providers on technical and maintenance matters.
- • Attend to maintenance-related issues and complaints raised by residents and stakeholders.
- • Review and close technical cases/complaints received via Ittisal/CRM, ensuring proper resolution and documentation.
- Prepare SOW specifications and tender documentation for assets maintenance and operation requirement
- Prepares schedule of routine maintenance and checklists to be undertaken in coordination with the contractors
- Manage and control of day to day activity related to O&M and workload for the maintenance team to ensure an
- effictive and efficient service is delivered including the planning and resourcing of Planned Preventative Maintenance (PPM) and maintenance shutdown
- Oversee the procurement process for materials needed for the products and ensure the best quotation for the
- materials is obtained through procurement.
- Analyze the potential problems that may arise with the current mechanical/ electrical systems
- Oversee the installation, operation and maintenance of assets to ensure that equipment are installed by
- contractors and functioning according to specification
- Read and interpret the blueprints, technical drawings, schematics and reports submitted by contactors
- Specify system complements or direct mediation of products to ensure conformance of with engineering design and
- performance specification
- Diploma or Bachelor’s degree in Engineering, Facilities Management, or a related technical field. Experience
- 3–5 years’ experience in technical coordination, facilities management, or building maintenance.
- Experience in using CRM / CAFM / ERP systems; MS Dynamics 365 exposure is an advantage.
- Strong understanding of PPM, corrective maintenance, and contractor performance monitoring.
- Good communication and coordination skills with internal teams, contractors, and residents.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
