Grounds Office Assistant (part-time, 17.5 hours/week)

The Grounds Office Assistant helps keep the Grounds Office running smoothly by performing general office duties as well as providing service to Grounds employees, guests, and callers in a professional manner. Additionally, the Grounds Office Assistant is responsible for training student employees in all office procedures and policies.

What you’ll do in this position:

  • Assisting the Managers and Supervisors with anything that they need
  • Training student employees in office policies and procedures
  • Assisting staff and students
  • Communicating, both by email and over the phone, problems and requests with Grounds area Supervisors
  • Answering questions about Workday
  • Assisting with hiring processes and scheduling interviews
  • Answering phones and helping those who walk into the office
  • Monitoring and responding to email messages
  • Filing (both paper and digitally)
  • Checking in/out office purchasing cards
  • Processing driving certifications
  • Performing other office/clerical assignments as required

What qualifies you for this role:

Required:

  • A firm commitment to the mission of BYU
  • One year of office experience
  • Extremely reliable and punctual with regular and consistent attendance for scheduled shifts
  • Exceptional conversation and people skills with a wide range of personalities and generations, both in person and on the telephone
  • Exemplify the BYU Honor Code and the Dress and Grooming Standards
  • Must demonstrate a high level of professionalism and be sensitive to issues of confidentiality
  • Ability to work in a fast-paced environment and be self-motivated when things slow down
  • Able to handle repetition and interruptions
  • Comfortable working independently as well as with others
  • Well-organized with strong attention to detail
  • Know how to stay busy and always look for things that need to be done to keep the office running smoothly
  • Should be able to sit for periods of time and work on a computer
  • Comfortable training students

Preferred:

  • Bachelor’s degree, 1 year office experience, plus previous experience in the BYU Grounds Office
  • A strong interest in serving students and staff, along with a willingness to resolve problems
  • Some knowledge of computer programs is helpful (Microsoft Word, Excel, Outlook, WorkDay, etc.)
  • Strong writing, editing, and proofreading skills, including use of proper grammar and punctuation

Pay Level: 46

Typical Starting Pay: $16.50 to $21.25 an hour
