The HR Records Specialist is responsible for supporting the Human Resources (HR) Department with document management and related administrative tasks. A primary focus will be reviewing, organizing, and processing HR records in compliance with municipal, state, and federal records retention requirements. This position may also provide general HR support such as filing, scanning, data entry, and assisting with projects as assigned.

Duties

Primary

Reviews and organizes HR records (personnel files, applications, training records, etc.) to ensure accuracy and compliance with retention schedules.

Identifies records eligible for destruction and prepares them for secure disposal in accordance with legal and policy standards.

Assists with the transition of records to digital or archived formats, as directed.

Maintains accurate logs and documentation of records processed, retained, or destroyed.

Supports the HR team with administrative tasks such as filing, scanning, data entry, and preparing documents.

Performs other duties as assigned to support HR operations.

Job Requirements

High school diploma or equivalent knowledge, skills, and abilities to perform the essential duties of the position; coursework in office administration, records management, or related field preferred.

Prior experience in records management, Human Resources, or administrative support preferred.

Knowledge of or ability to learn municipal and state records retention laws and best practices.

Experience with Google Suite or Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS or document management systems a plus.

Work is typically performed in an office environment. May involve sitting, standing, bending, and lifting boxes of records. Flexible part-time schedule Monday through Friday within 8am - 5pm. The incumbent is required to safeguard confidential and sensitive information at all times and this position requires attention to detail and organizational skills.

Personal Work Relationships

Incumbent maintains frequent contact with department personnel, City employees, and members of the public for the purpose of giving and receiving assignments and information. The incumbent is required to have strong communication and teamwork skills.
