Job Description: Tendering Officer
The Tendering Officer is responsible for managing the entire tendering process — from identifying new tender opportunities to preparing and submitting competitive bids. This role involves coordination with technical, planning, estimation, and finance teams to ensure that tender documents are accurately prepared in compliance with client requirements, industry standards, and company policies. The officer plays a key role in ensuring the organization’s success in securing profitable contracts.
Key Responsibilities
1. Tender Identification & Analysis
- Identify and track potential tenders from government portals, private clients, and EPC opportunities.
- Study and analyze tender notices, RFQs, and bid documents to determine eligibility and scope.
- Conduct risk and feasibility analysis before tender participation.
2. Tender Preparation & Submission
- Prepare technical and commercial proposals in coordination with estimation, planning, and project teams.
- Ensure that BOQ, rate analysis, and cost estimations are accurate and competitive.
- Compile pre-qualification documents, vendor registrations, and statutory compliance records.
- Draft and finalize bid documents in line with tender requirements.
- Ensure timely submission of tenders both online and offline.
3. Coordination & Documentation
- Coordinate with design, procurement, and execution teams to gather inputs for tender proposals.
- Liaise with finance/accounts team for bid security, EMD, and bank guarantees.
- Maintain updated records of submitted tenders, client communications, and outcomes.
- Prepare reports on tender status, success ratios, and market analysis.
4. Client & Vendor Interaction
- Clarify queries by participating in pre-bid meetings with clients/consultants.
- Coordinate with vendors and subcontractors for quotations and technical compliance.
- Build and maintain strong relationships with clients, consultants, and government agencies.
5. Compliance & Quality Assurance
- Ensure tenders are compliant with company policies, statutory regulations, and quality standards.
- Verify that all technical and commercial requirements are fulfilled.
- Stay updated on tender laws, procurement guidelines, and industry norms.
6. Market Research & Strategy
- Conduct competitor analysis for pricing and bidding strategies.
- Identify market trends, upcoming projects, and tendering opportunities.
- Provide strategic input to management for improving bid success rates.
Required Qualifications
- Education: Bachelor’s Degree in Civil Engineering / Mechanical Engineering / Business Administration or related field.
- Experience: 2–5 years in tendering, estimation, or contract administration (construction/infrastructure preferred).
- Skills:
Preferred Qualifications
- Experience in EPC/Infrastructure/Construction tendering.
- Familiarity with government e-procurement portals (GeM, CPP, state tender sites).
- Exposure to contract management and project cost estimation software (Primavera, MS Project, ERP).
Job Type: Full-time
Pay: ₹20,000.00 - ₹30,000.00 per month
