Role Summary
The Tendering & Pricing Officer will manage the preparation, review, and submission of tenders, proposals, and pricing specifically for facility and property management services. This role ensures that all submissions are competitive, accurate, and aligned with client requirements while maintaining profitability and compliance with industry standards.
Key Responsibilities
Tendering & Proposal Management
- Review RFPs, RFQs, and tender documents related to facility and property management.
- Prepare detailed technical and commercial proposals, ensuring compliance with client requirements.
- Develop value-added service offerings to enhance competitiveness in bids.
- Coordinate clarifications and submit all tender-related documentation within deadlines.
Pricing & Cost Estimation
- Prepare detailed pricing models for facility management contracts (soft services, hard services, integrated FM, property services).
- Calculate costs for manpower, maintenance, cleaning, security, utilities, consumables, and subcontracted services.
- Develop cost-benefit analysis to optimize pricing strategies.
- Maintain an updated database of service costs, supplier/vendor rates, and market benchmarks.
Documentation & Compliance
- Draft pricing schedules, BOQs, service-level agreements (SLAs), and supporting forms.
- Ensure all submissions comply with local regulations, legal frameworks, and company policies.
- Maintain accurate records of tender submissions, amendments, clarifications, and awards.
Collaboration & Coordination
- Work closely with operations, property management, HR, procurement, and finance teams to collect accurate input for pricing.
- Liaise with clients, consultants, and vendors during the tendering process.
- Support negotiations with clients regarding scope, pricing, and contract terms.
Reporting & Continuous Improvement
- Track tender outcomes, win/loss ratios, and prepare management reports.
- Analyze competitor pricing trends in the facility and property management market.
- Recommend process improvements to increase efficiency and success rate in tendering.
Qualifications & Skills
- Bachelor’s degree in Facilities Management, Business Administration, Quantity Surveying, or related field.
- Minimum 3–5 years’ experience in tendering, pricing, or cost estimation for facility and property management services.
- Strong knowledge of FM services (hard & soft services, leasing support, community management, property operations).
- Experience preparing technical and commercial proposals for large-scale residential, commercial, or mixed-use properties.
- Excellent analytical and numerical skills with strong attention to detail.
- Proficiency in MS Excel and tendering software/tools.
- Strong communication and presentation skills.
- Ability to work under tight deadlines with multiple stakeholders.
