The Opportunity:
As a Legal Support Assistant, you will provide a variety of legal support and administrative duties for assigned attorneys and paralegals in our Real Estate practice group. You will be responsible for interacting with colleagues in a workforce setting and upholding the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters.
The Day-To-Day:
  • Draft addendums to real estate contracts.
  • Schedule and coordinate real estate closings with attorneys, lenders and title company and brokers (if any).
  • Order title / surveys and underlying title documents.
  • Prepare escrow instructions.
  • Create and maintain closing files and organize closing binders, assisting with closings by compiling signature pages and closing documents.
  • Coordinate filing of real estate documents with clients.
  • Inputs, revises and finalizes correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents.
  • File legal documents in federal and state courts, including e-filing in all courts and agencies; prepare documents for service of process; prepare case “shell” documents for use by attorneys.
  • Verify all attachments, exhibits and enclosures are included with transmittal letters/memos.
  • Maintain good working relationships with clients.
  • Review all incoming mail, distribute to teams as needed and upload to the DMS. Prepares documents and packages for mail, messenger and overnight delivery.
  • Completes client/matter forms. Requests conflicts of interest checks. Opens new files.
  • Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed.
  • Prepare expense reports; edit attorneys’ CLE credits and process client billing.
  • Coordinate and follow through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services).
  • Provide overflow and absence coverage assistance as well as legal supoprt assistant support for Legal Support Assistant Members’ attorneys.
  • Maintain calendar, contacts and deadline reminder systems.
  • Enters attorney time within deadlines, send time entry reminders and track entries.
  • Works with docket and other teams to maintain accurate calendars.
  • Assist billing coordinator and billing attorneys with client bill processing. Reviews and edits bills as necessary.
  • Complete client/matter intake forms; request conflicts of interest checks; open new files and prepare files to be closed.
  • Schedule appointment and make arrangements for meetings, conferences and travel.
  • Screens telephone calls, listens to voicemail and records messages.
  • Receives clients and visitors.
  • Reviews and prints e-mail messages.
  • Complete other duties and projects as assigned.
You Have:
  • 4-7 years’ legal support experience required, Real Estate experience preferred.
  • Bachelor's Degree preferred
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to handle multiple assignments and shifting priorities
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work independently as well as effectively within a team
  • Demonstrates a commitment to quality of finished product

Location Specific Language:
Pursuant to the San Francisco Fair Chance Ordinance, we will consider for employment qualified applicants with arrest and conviction records.


The salary range for this role is $90,000 to $110,000 annually, which is based on a 37.5 hour work week. This range is only applicable for jobs to be performed in San Francisco. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
