Job Role:

The Transport Coordinator – Dammam is responsible for managing import and export transport operations involving flatbed and closed box trailers, as well as handling LCL shipment coordination in the Dammam region. The role ensures efficient scheduling, documentation, and communication between drivers, back-office staff, and customers, maintaining accurate operational updates in the company software and reports.

Key Responsibilities:

1. Operational Coordination

  • Plan, schedule, and oversee daily transport operations for flatbed and closed box trailers operating from Dammam.
  • Manage import and export trailer movements, ensuring timely loading, dispatch, and delivery in line with customer and port requirements.
  • Coordinate LCL (Less-than-Container Load) shipment movements from Dammam Port, ensuring accurate documentation and cargo handling.
  • Assign appropriate drivers and vehicles based on job type, cargo size, and delivery timelines.
  • Monitor vehicle readiness and driver allocation to avoid trip delays or resource shortages.
  • Ensure all safety and compliance procedures are followed during operations.

2. Communication & Coordination

  • Maintain daily communication with drivers, customers, and port authorities to ensure seamless trip execution.
  • Coordinate closely with Back Office (BO) staff for trip status updates, documentation, and system entries.
  • Collaborate with other branch coordinators (Riyadh, Jeddah, etc.) for intercity movement and return load planning.
  • Communicate promptly with clients and internal departments in case of delays, route issues, or urgent operational adjustments.

3. Documentation & System Updates

  • Update and maintain daily operational tracking sheets for all flatbed, closed box, and LCL movements in Dammam.
  • Record trip details, job references, driver logs, and vehicle performance data accurately in the transport management software.
  • Ensure that all import/export and LCL shipment documents (delivery notes, job completion sheets, port clearance, etc.) are completed and submitted on time.
  • Generate daily, weekly, and monthly performance reports for management review and analysis.

4. Performance & Reporting

  • Support the Transport Team Leader and Transport Manager by providing updates on trip performance, vehicle utilization, and turnaround times.
  • Identify potential delays or operational inefficiencies and recommend corrective actions.
  • Assist in ensuring that all trailers are well-maintained and available for dispatch when needed.
