Job Title: College Bus In-charge (or Transport Supervisor/Manager) Reports To: Administrative Officer or Principal ,
Job Summary: The Bus In-charge is responsible for the overall management and administration of the college's transportation system, ensuring safe, timely, and cost-effective transport for students and staff, while maintaining compliance with all relevant regulations.
Key Roles and Responsibilities
1. Route Planning and Scheduling
- Develop, plan, and optimize bus routes, stop locations, and timings to ensure maximum efficiency, coverage, and adherence to the academic schedule.
- Assign buses and drivers to specific routes and duties, including for field trips, industrial visits, training, and extracurricular activities.
- Review and reorganize routes and allocations annually or as student/staff requirements change.
- Operate limited or adjusted bus services during exams, holidays, or college events as needed.
2. Fleet Management and Maintenance
- Oversee the maintenance, repair, and cleanliness of the college bus fleet to ensure all vehicles are in optimal and roadworthy condition.
- Schedule and monitor regular maintenance, preventative servicing, and annual safety inspections.
- Track and maintain records of vehicle documents such as insurance, permits, fitness certificates, and ensure timely renewals.
- Manage fuel consumption and maintain accurate records of usage and expenditure.
- Process and scrutinize bills for fuel, vehicle repairs, and maintenance for payment.
3. Driver and Staff Supervision
- Supervise, train, and evaluate the performance of bus drivers and other assigned transport staff.
- Ensure all drivers possess and maintain the required valid commercial licenses and certifications.
- Manage staff work schedules, leave applications, and assign extra/overtime duties.
- Ensure drivers maintain proper discipline and safety standards while operating the vehicles.
4. Safety and Compliance
- Implement and strictly enforce all college transportation policies, safety procedures, and discipline rules for students and staff.
- Ensure compliance with all local and national traffic laws, regulations, and safety standards for passenger transport.
- Develop and implement emergency response plans for vehicle breakdowns, accidents, or incidents.
- Investigate and report all transport-related accidents or incidents to the college administration and relevant authorities.
5. Administration and Communication
- Handle bus pass applications, allot routes, and issue bus passes to students and staff.
- Maintain accurate records and documentation related to bus operations, vehicle maintenance, and driver performance.
- Serve as the primary liaison between students, parents, drivers, staff, and college administration regarding transportation issues.
- Communicate promptly regarding any changes in routes, schedules, or unexpected delays.
- Liaise with external service providers (mechanics, fuel suppliers, etc.) as necessary.
Required Qualifications and Skills (Vary by Institution)
Education and Experience:
- Bachelor's degree in a relevant field (Logistics, Management, or Administration) is often preferred.
- Proven work experience (e.g., 3+ years) in a transport management, logistics, or supervisory role, preferably in an educational setting.
- Possession of a heavy/commercial driving license may be required or a significant advantage.
Key Competencies:
- Strong leadership, supervisory, and conflict resolution skills.
- Excellent organizational and time management skills, particularly in scheduling and route planning.
- Knowledge of transportation regulations and safety standards.
- Proficiency in computer applications (MS Office, emails) and potentially route management software.
- Ability to handle emergencies and make informed decisions under pressure.
