Job Purpose and Summary

The Vending Route Scheduler & Revenue Control Coordinator is a dual-function leadership support role responsible for overseeing daily route scheduling, service optimization, and the secure processing and reconciliation of all route-generated cash revenue. This position serves as the operational and financial control hub for vending and micro-market operations, ensuring efficient route execution, accurate cash accountability, strong internal controls, and seamless coordination between drivers, warehouse, operations, and accounting. This role directly impacts service reliability, route profitability, labor efficiency, and financial integrity.

Essential Job Duties and Responsibilities:

Route Scheduling & Operations Coordination

 Develop, maintain, and optimize daily and weekly vending and micro-market route schedules.

 Assign routes based on machine demand, sales trends, and service requirements.

 Optimize routing to reduce fuel costs, labor hours, and service delays.

 Adjust routes in real time for call-offs, breakdowns, emergencies, and weather disruptions.

 Monitor machine sales and telemetry data to forecast replenishment needs.

 Coordinate with warehouse for product staging and inventory readiness.

 Communicate daily route plans and service priorities to drivers and supervisors.

 Track route productivity, service completion, and performance metrics.

 Maintain route documentation and service record.

Office Support

 Serve as a support point of contact for the office, greeting visitors and responding to phone calls, emails, and general inquiries.

 Perform basic administrative tasks such as filing, scanning, copying, and data entry.

 Manage incoming and outgoing mail, deliveries, and office communications.

 Maintain office organization, including common areas, supply rooms, and shared equipment.

 Order, track, and restock office supplies and coordinate with vendors as needed.

 Support scheduling needs, including meetings, calendars, and conference room coordination.

 Assist with basic bookkeeping or finance-related tasks such as invoice processing, expense tracking, or data preparation (as assigned).

 Provide administrative support to managers and team members, including document

preparation and report formatting.

 Maintain accurate records and ensure confidential information is handled appropriatel.y

 Assist with onboarding logistics for new employees (workspace setup, forms, basic orientation support).

 Help coordinate internal communications, events, or small projects.

 Identify and communicate office needs, inefficiencies, or improvement opportunities.

 Perform other clerical or administrative duties as assigned to support daily operations

Cash Revenue Processing & Financial Controls.

 Receive, verify, and reconcile daily route cash and coin collections.

 Count, sort, and process cash, coin, and bill validator revenue.

 Match physical cash totals to route settlement and POS reports.

 Identify, document, and resolve cash variances.

 Maintain strict chain-of-custody and internal control procedures.

 Prepare daily bank deposits and armored carrier documentation.

 Operate coin counting, wrapping, and bill validation equipment.

 Maintain secure vault and cash room operations

 Audit driver cash accountability and settlement accuracy

 Support month-end reconciliation and audit preparation

 Maintain accurate financial records and audit trails

Required Knowledge, Skills, and Abilities

 Strong understanding of vending and micro-market operations.

 Knowledge of route logistics, dispatching, and fleet coordination.

 Knowledge of cash handling, reconciliation, and internal controls.

 Proficiency with vending management systems and POS platforms.

 Experience with route optimization and telemetry platforms.

 Strong analytical, organizational, and problem-solving skills.

 Excellent communication and coordination abilities.

 High level of integrity and attention to detail.

 Strong math and financial reconciliation skills.

 Proficiency in Microsoft Excel and accounting or route software.

Required Education and Experience

 High school diploma or GED required.

 Associate degree in logistics, business, accounting, or supply chain preferred.

 3+ years of experience in route operations, logistics, vending, or distribution.

 2+ years of experience in cash handling, banking, accounting, or revenue processing.

 Experience in vending, gaming, retail cash office, or armored services strongly preferred.

 Experience with vending software platforms (Cantaloupe, Nayax, Seed, Parlevel, etc.)

preferred.

Physical Requirements

 Ability to sit or stand for extended periods.

 Ability to lift up to 30 pounds (coin bags, cash bins).

 Ability to work in a secure cash handling environment.

 Ability to work early mornings or extended hours during peak seasons.

Work Environment

 Office-based operations center with access to secure cash room.

 Fast-paced, deadline-driven operations and accounting environment.
