Vendor Management Executive

Job Summary

We are seeking a proactive and detail-oriented Vendor Management Executive to manage and coordinate vendors for commercial interior fit-out projects. The candidate will be responsible for vendor sourcing, evaluation, contract negotiation, performance monitoring, and ensuring timely project execution within budget and quality standards.

Key Responsibilities

• Identify, evaluate, and onboard vendors for civil, MEP, HVAC, joinery, flooring, glass, furniture, and other fit-out works
• Prepare and issue RFQs (Request for Quotations) and compare vendor quotations
• Negotiate pricing, payment terms, and contracts
• Coordinate with project managers and site teams for vendor scheduling
• Monitor vendor performance (quality, timelines, safety compliance)
• Track material deliveries and work progress
• Ensure vendors adhere to drawings, BOQ, and specifications
• Manage vendor payments, billing verification, and documentation
• Resolve disputes or performance issues
• Maintain vendor database and performance reports
• Support procurement planning and cost control initiatives

Required Qualifications

• Bachelor’s degree in Civil Engineering / Construction Management / Business Administration or related field
• 3–6 years of experience in vendor management within commercial interior fit-out or construction industry
• Strong knowledge of BOQ, contracts, and project scheduling
• Excellent negotiation and communication skills
• Ability to manage multiple vendors simultaneously
• Proficiency in MS Excel and project tracking tools

• Experience working on corporate office, retail, or hospitality fit-out projects
• Knowledge of procurement cycles
