Visa and travel agency Administrator and Service Agent

Objective of the Role:
To be the central hub for our agency's operations, providing flawless administrative support, expert visa and documentation services, and professional travel consulting to ensure a smooth and exceptional client journey from inquiry to return.

Key Responsibilities:

This integrated role is split into three core areas of responsibility:

1. Administrative & Operational Hub:

  • Act as the first point of contact, professionally managing all inbound phone calls, emails, and walk-in client inquiries.
  • Maintain impeccable office organization, including managing supplies, equipment, filing systems (both digital and physical), and processing incoming/outgoing mail.
  • Handle crucial financial administrative tasks, including processing client payments, managing invoices, and reconciling daily transactions.

2. Visa & Documentation Expertise:

  • Serve as the in-house expert for all visa and passport requirements, providing accurate advice to clients and colleagues.
  • Manage the entire visa application process for clients, including meticulous document checking, form completion, and liaison with embassies/consulates.
  • Proactively track application statuses and communicate updates clearly and promptly to clients.

3. Travel Consulting & Sales Support:

  • Conduct client consultations to understand travel needs, preferences, and budgets for various destinations.
  • Create and cost tailored travel itineraries, including flights, hotels, and tours, using our booking systems.
  • Support senior consultants with research, booking amendments, and post-travel follow-up to ensure client satisfaction and foster repeat business.

Required Skills:

We are looking for a unique blend of technical, communication, and soft skills to succeed in this integrated role.

  • Technical and Soft skills
  • Software & Systems Proficiency: Advanced ability in Microsoft Office Suite (especially Excel for data and Outlook for communication) and a proven aptitude for quickly learning new software, including CRM platforms and Global Distribution Systems (GDS) or booking engines.
  • Regulatory & Financial Acumen: Strong ability to research, interpret, and apply complex visa regulations with precision. Solid numerical skills for handling payments, invoicing, and basic financial tasks accurately.

  • Exceptional verbal and written communication skills. Ability to explain intricate processes (like visa applications) simply, draft professional emails, and maintain a courteous and helpful phone manner.

Job Types: Full-time, Permanent

Pay: AED2,000.00 - AED4,000.00 per month
