WEDDING DAY-OF COORDINATOR & PLANNER

The Day of Coordinator is responsible for coordinating, managing, properly preparing, and executing a wedding day while providing exceptional customer service and representing the company with poise, organization, and a servant attitude.

Being on the A Touch of Bliss team means getting to work with a supportive, collaborative, and cheerful group! We love sharing innovative designs, gorgeous dresses, ingenious solutions, pictures of our dogs and wedding stories with each other. Our team works a flexible schedule so we can be available for our clients. Our clients tend to work throughout the week so we plan for lots of happy-hour and weekend meetings.

After your interview, if you are selected as the right fit, we will cover the cost of the required Wedding Professionals Blueprint Coordinator Certification. This certification must be completed prior to beginning onboarding. Please note, a formal offer of employment will not be extended until the certification is successfully completed.

You can expect support from the team and through the entire year but especially during our regular season- May through October. Our team values communication with weekly and as needed client updates and brainstorm sessions. We all rely on each other’s expertise, experience and kindness. Each Day of Coordinator manages between five and twenty five weddings per season, depending on availability. We go wherever our clients go so be ready to explore this beautiful state and the mountains.

Event days are generally 9-12+ hours and you will definitely hit your 10,000 steps! Our coordinators always come prepared with water bottles and snacks since our meals are usually eaten once everyone else is dancing; good thing event food is delicious- and don’t forget about the cake! Our coordinators spend wedding days answering all of the questions, mitigating uncomfortable family dynamics, steaming bridesmaid dresses, carrying and setting up decorations and anything else that needs to be done. We are frequently the last person to leave at the end of the night- thank goodness we get the sugar from the cake!

We are looking to interview between March 16th - March 23rd with candidates completing the WPB course by April 18th.

RESPONSIBILITIES

  • Provide a complete service to couples by attending to all their needs, providing guidance and support, and being responsive to their requests.
  • Establishing trust and a personable relationship with all clients through prompt and proper communication, being on top of all details, and offering guidance and expertise in all situations.
  • Clearly and proactively communicate with all vendors and partners prior to and on wedding day.
  • Respond to emails, phone calls, and text messages within 48 business hours in a professional manner with complete sentences and proper grammar/spelling.
  • Manage, create and implement plans prior to and on the wedding day to ensure success.
  • Track and document all details and notes in the provided templates.
  • Keep an upbeat attitude and calm demeanor, always reassuring clients and making them feel excited and happy.

TASKS and TIMELINE

The Day of Coordinator will be expected to complete the following items as well as a complete task list as provided during training.

  • Reach out to the couple to introduce yourself in a friendly and excited manner
  • Schedule a Details meeting approximately 3 months prior to the wedding date. This will take place either in the company offices or via a virtual meeting.
  • The meeting consists of obtaining all needed information to successfully complete your job and will take between 1.5-2 hours.
  • Follow up after the meeting within 48 hours with a task list, to-do’s for couples, and a recap of what was discussed.

Send a draft timeline and floor plan to the couple within two weeks of the Details Meeting. Reach out to all vendors to introduce yourself, confirm the day of timeline, and complete any outstanding items.

  • Schedule and run a walk through at the venue approximately 30 days prior to the wedding date.
  • At the walk through, the Coordinator will finalize the timeline, logistics, floorplan, and flow of the wedding day as well as answer any outstanding questions from the couple or vendors.
  • Remain in constant communication with vendors and clients throughout the process.
  • Communicate wedding day details and timeline with your assistant.
  • Schedule, attend, and run the rehearsal.
  • Attend and manage the wedding day.
  • You will attend to any locations or tasks that are necessary.
  • Transport any personal décor or details for the couple to the wedding day.
  • The assistant will typically arrive at the venue and assist for 10-12 hours
  • A typical wedding day for a Coordinator is 10-12 hours

EXPECTATIONS

  • Wedding Professionals Blueprint Coordinator Certification
  • Availability for at least two weekends per month, May through October
  • 1+ year in the service industry in any capacity is required; 2+ years in a planning or coordinating capacity preferred
  • Successfully produce events from conception to completion while providing exceptional customer service and maintaining complete organization
  • Liaise with clients to identify their needs and to ensure customer satisfaction
  • Organize all aspects of the wedding day
  • Ensure compliance with insurance, legal, health, and safety obligations
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Manage time and project demands successfully
  • Arrive at meetings and scheduled appointments 15 minutes early
  • Be able to frequently lift and carry objects up to 40 lbs
  • Be able to stand up and actively walk around 12–16 hours a day
  • Provide your own reliable transportation and be able to transport event supplies as needed
  • Maintain reliable internet access and phone/service to communicate with clients and the team and to complete administrative responsibilities

COMPENSATION

Onboarding hours are paid at $19.29

$345 flat fee paid over 3 months per wedding + $20/hour per eligible logged hours

Flat Fee Covers:

  • The $345 flat fee covers all admin during the Day of Coordination process (emails, updating documents, communication with vendors via email or phone call, all meetings with managers, etc.) This breaks down to about 1.5 hours of admin work per week, per couple.
  • Details Meeting is paid by a flat fee of $40 and the Final Call is paid by a flat fee of $20.

Eligible logged hours at the $20/hour rate include:

  • The final walkthrough at the venue + drive time
  • The wedding rehearsal + drive time
  • The wedding day + drive time

Wedding days generally range from 9-12 hours, depending on the wedding venue.

On average, Day of Coordinators can expect to make $650 - $750 per wedding, including the $345 flat fee and on-site hours.

All payments are based on the wedding or event date. The first flat-fee payment, which includes compensation for the details meeting, will be paid during the regular pay period in which the 60-day mark before the wedding occurs. The second flat-fee payment will be paid during the pay period in which the 30-day mark before the wedding occurs. The final flat-fee payment, which includes compensation for the final call, will be paid during the pay period in which the wedding date occurs.
