Role Overview:
The Factory Administrator is responsible for managing day-to-day administrative operations of the wooden factory. This includes coordinating staff, maintaining records, overseeing procurement support, managing documentation, and ensuring smooth communication between departments. With at least 5 years of experience, the Admin will play a key role in supporting production, HR, accounts, and logistics to ensure efficient factory operations.
Key Responsibilities:
- Handle all administrative tasks including staff attendance, leave records, and shift schedules.
- Maintain accurate filing systems for employee records, supplier contracts, and factory documentation.
- Support HR functions such as recruitment coordination, onboarding, and employee compliance.
- Assist in procurement by preparing purchase requests, following up with suppliers, and maintaining stock records of office and factory supplies.
- Coordinate logistics for delivery of materials, finished products, and internal transportation needs.
- Monitor and report on petty cash expenses and assist accounts department with invoice preparation and documentation.
- Ensure compliance with health, safety, and company policies inside the factory premises.
- Liaise with government authorities or external agencies for license renewals, permits, and other compliance requirements.
- Provide administrative support to the Factory Manager and production team.
- Prepare weekly and monthly reports on administrative activities, expenses, and staff performance updates.
Qualifications & Skills:
- Bachelor’s Degree/Diploma in Business Administration, Management, or related field.
- Minimum 5 years of proven experience as an Administrator in a manufacturing or factory environment (wood/joinery industry preferred).
- Strong knowledge of office management, HR support, and procurement processes.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Proficient in MS Office (Word, Excel, Outlook) and ERP systems.
- Familiar with UAE labor laws and factory compliance regulations (preferred for UAE-based role).
