Job Summary
The Administrative Assistant provides essential support to the organization’s workforce development and training teams. This role is responsible for preparing meeting materials, coordinating room setup, assisting with participant intake and documentation, maintaining required records and files, processing routine program paperwork, and contributing to ongoing improvements in internal processes. The ideal candidate is detail‑oriented, organized, professional, and dedicated to delivering excellent service.
Key Responsibilities
Administrative & Operational Support
- Provide general administrative support to workforce development, training, and program staff.
- Prepare materials and coordinate room setups for meetings, trainings, and events.
- Assist with participant intake, documentation, and routine program processing.
- Maintain accurate records and manage both physical and electronic files.
- Process recurring program paperwork and data submissions.
- Answer and direct incoming phone calls as part of front-line administrative support.
- Participate in staff meetings and organizational functions.
- Perform additional duties as assigned by leadership.
Client Assistance & Customer Service
- Understand and communicate organizational policies, procedures, and program guidelines.
- Support outreach efforts by providing information about programs to participants and stakeholders.
- Assist with preparing and mailing program materials and documentation.
- Research topics as needed to provide accurate and informed responses.
- Respond to client inquiries courteously and in a timely manner.
- Document and escalate client issues when appropriate.
- Draft professional correspondence and communications as needed.
Qualifications
- Proficiency with Microsoft 365 applications (Word, Excel, Outlook, SharePoint).
- Familiarity with common office equipment (copiers, etc.).
- Excellent attention to detail.
- Ability to follow written and verbal instructions effectively.
- Strong interpersonal skills with a friendly, professional, and helpful attitude.
- Self‑motivated team player; able to work independently or collaboratively.
- Ability to maintain a professional and positive image for the organization.
Physical Requirements
- Work is performed in a typical office environment with no unusual exposures.
- Regular activities include walking, bending, sitting, kneeling, reaching, and occasionally lifting up to 20 lbs.
- Frequent use of a computer keyboard, ten‑key, and fine motor skills.
- Occasional short‑distance driving may be required.

Job Type: Full-time
Pay: $18.50 - $20.50 per hour
