Job Title: Office Manager

Location: Riyadh, KSA
Responsibilities
- Daily Operations: Oversee the day-to-day running of the facility, from ensuring basic services like cleaning and security are in place to managing supplies and administrative tasks.
- Maintenance: Coordinate and schedule routine maintenance, repairs, and inspections for building systems (HVAC, electrical, plumbing, etc.). Develop and implement preventive maintenance plans to minimize downtime.
- Vendor and Contractor Management: Liaise with external service providers for contracts and services such as cleaning, security, and maintenance, ensuring quality standards and compliance are met.
- Safety and Compliance: Implement and enforce health, safety, and environmental regulations. Conduct risk assessments, develop emergency procedures, and ensure all facilities meet safety standards.
- Space Management: Plan and optimize the use of office space, manage office layouts, and oversee projects such as renovations, expansions, or relocations.
- Budgeting: Develop and manage budgets for facility operations, maintenance, and upgrades, while identifying cost effective solutions.
- Reporting and Communication: Generate reports, handle facility related inquiries, and communicate with stakeholders, vendors, and internal departments.
- Travel booking: Coordinate car rentals and other necessary travel services in accordance with company policies.
- Policy and compliance: Ensure all travel arrangements adhere to company travel policies and regulatory requirements.
- Stay current: Keep informed about industry trends, new destinations, and travel regulations.
Skills & Qualifications
- Strong communication, customer service, problem solving, and negotiation skills.
- Excellent organizational skills and attention to detail are essential.
- Proficiency with travel booking software and the Microsoft Office Suite is often required.
- Local National ID: Applicants must possess a valid local national ID to submit and coordinate visa and tax related documentation with government authorities (e.g., Jawazat, ZATCA, Chamber of Commerce, Muqeem, QIWA). Local nationals only.
- Language Requirement: Proficiency in Arabic is mandatory, including both spoken and written communication.
