The Youth and Adult Program Manager provides day-to-day leadership and operational oversight for the Foundation of HOPE’s Reentry and Youth Diversion programs. This position serves as the primary bridge between program staff and leadership, ensuring program operations run efficiently while maintaining high standards for service delivery, staff performance, and data integrity. The Program Manager supervises frontline staff, monitors attendance and performance indicators, and ensures accurate documentation within Salesforce to support grant compliance and reporting. This role works closely with the Senior Program Director to translate strategic goals into daily operations, ensuring staff have the resources, guidance, and accountability needed to effectively serve program participants. This position is designed for a highly organized and solutions-oriented professional who can manage staff workflows, monitor program performance, and ensure accurate data tracking to support program evaluation and growth.
Essential Duties & Responsibilities
Staff Supervision & Performance Management
- Provide direct supervision and day-to-day support to program staff serving youth and adult participants. Monitor staff attendance, punctuality, and overall performance, addressing concerns and reporting trends to the Senior Program Director.
- Support staff in managing caseloads, ensuring services are delivered effectively and in alignment with program goals. Provide coaching and guidance to staff on case management practices, documentation expectations, and program procedures.
- Assist in onboarding and training new staff, ensuring they understand organizational policies, program expectations, and documentation standards.
- Serve as the first point of contact for staff questions, problem-solving operational challenges and removing barriers to effective service delivery. Conduct regular team check-ins to review participant progress, service delivery, and performance expectations.
Data Management & Reporting (Salesforce)
- Oversee program data management within Salesforce to ensure accurate, timely, and complete documentation by all staff. Monitor staff documentation to ensure compliance with funder requirements and internal program standards.
- Run weekly, monthly, and quarterly reports for the Senior Program Director to support grant reporting and program evaluation.
- Track key performance indicators including program enrollment, service delivery, engagement levels, and program outcomes.
- Develop and maintain internal dashboards that allow leadership to monitor program performance in real time. Troubleshoot data entry or system challenges and serve as the liaison to external Salesforce support when necessary.
Program Operations & Quality Assurance Support
- Oversee the day-to-day operations of the Reentry and Youth Diversion programs to ensure efficient and effective service delivery.
- Monitor staff caseloads and participant engagement to ensure programs are operating at appropriate capacity. Conduct periodic file and documentation audits to ensure compliance with grant requirements and internal policies.
- Track program benchmarks and performance outcomes, identifying areas for improvement and reporting findings to the Senior Program Director.
- Assist in maintaining the Program Operations Manual that outlines workflows, procedures, and program standards. Oversee incident reporting and ensure documentation is completed accurately and submitted in a timely manner.
Staff Support & Workflow Coordination
- Serve as the first point of contact for staff with operational or data-related questions, assisting with daily workflow questions and troubleshooting barriers.
- Monitor staff attendance and punctuality, reporting trends and concerns to the Senior Director.
- Coordinate and lead weekly (focused on data quality and client progress).
- Support staff onboarding by coordinating training schedules and materials.
Intake & Compliance Coordination
- Maintain documentation compliance with funder guidelines and ensure proper record retention and file organization (physical & digital). Support annual program evaluations by compiling required files/data.
- Ensure all participant files meet documentation standards required by funders and organizational policies. Assist in compiling data and documentation required for program reports and funding applications.
Internal Communication & Administrative Support
- Manage internal office announcements and updates (staff birthdays, policy reminders, org-wide news) to ensure important announcements are seen by staff.
- Coordinate staff meetings, prepare agendas, and track action items. Maintain operational trackers, shared calendars, and resource schedules.
- Oversee program supplies and resource coordination (submit requests to Senior Director for budget approval).
Community & Outreach Support
- Maintain a resource navigation database for staff to use when connecting clients to community resources such as housing, employment, food assistance, and education.
- Assist with outreach events by coordinating staff schedules, materials, and logistics. Support relationship management with key partners including probation officers, schools, workforce agencies, and community organizations.
- Collect participant success stories and program highlights from staff to support communications and impact reporting.
Strategic & Expansion Support
- Assist the Senior Program Director with developing and strengthening program infrastructure. Support the development and refinement of program workflows and operational processes.
- Compile program data to support grant applications, program reports, and funding proposals. Participate in select community meetings and partnership discussions when requested by leadership.
- Provide feedback to leadership on program needs, operational challenges, and opportunities for program growth.
Preferred Qualifications
- Bachelor’s degree in Social Work, Criminal Justice, Nonprofit Management, or a related field (or equivalent experience).
- 3–5 years of experience in nonprofit programming, case management, or program coordination.
- At least 1–2 years of experience supervising or leading staff strongly preferred.
- Experience with Salesforce or another case management database system highly preferred.
- Strong organizational and leadership skills with the ability to manage multiple priorities.
- Experience working with justice-impacted individuals, reentry populations, or at-risk youth preferred.
- Strong communication and problem-solving skills. Valid Driver’s License and access to reliable transportation. Flexiblity to work on weekends and evenings as needed.
Pay: $47,000.00 - $52,000.00 per year
