Financial Record Keeping & Bookkeeping
- Record all financial transactions (donations, grants, operational expenses) accurately in appropriate ledgers and software.
- Manage accounts payable and accounts receivable; ensure invoices, receipts, and proofs are properly processed and filed.
- Reconcile bank statements, petty cash, and other cash books regularly.
Budgeting, Forecasting & Financial Planning
- Preparing annual or project budgets.
- Monitor budget vs actual expenditures to ensure financial discipline and flag any deviations.
Donor / Grant Management & Reporting
- Maintain records and accounts specific to donor funding, ensuring that expenses comply with donor agreements.
- Prepare financial reports for donors on a monthly/quarterly/annual basis as required.
- Compliance, Audits, & Regulatory Duties
- Ensure compliance with local tax laws, NGO registration requirements, social insurance, and other statutory obligations.
- Support internal and external audit processes by providing required documents, evidence, and explanations.
Financial Controls & Internal Policies
- Design and implementation of internal financial controls to prevent misuse of funds.
- Ensure payment processes, procurement, advances, reimbursements etc. are following organisational policy.
Payroll & Staff Reimbursements
- Process payroll accurately and on time; ensure deductions and withholdings are in compliance with laws/policies.
- Manage advances & advance liquidation; ensure staff expense claims are reconciled.
Cashflow & Asset Management
- Monitor cash flow to ensure sufficient liquidity for operational needs and upcoming liabilities.
- Maintain fixed asset register, track depreciation, and ensure resources/assets of the NGO are properly accounted for and preserved.
Reporting & Information Sharing with Management
- Prepare monthly, quarterly, and annual financial statements for senior management and the Board.
- Provide meaningful financial analysis and advice to inform decision-making.
Documentation & Record-Keeping
- Keep physical and electronic records organized, up to date, with appropriate backups.
- Be ready to produce documentation required by auditors, donors, or regulatory bodies.
Key Requirements:
- - Minimum 3 years of experience in accountingg
- - Must hold a relevant degree in accounting, finance, or a related field
- - Graduated from a top-tier university
- - Proficiency in MS Office
