Bookkeeping & Financial Support
- Support accounts payable and receivable, expense tracking, and payment processing.
- Data entry all A/P and receipts in Quickbooks.
- Reconcile bank statements, credit card accounts, and other financial records.
- Assist with invoicing, deposits, and daily payment processing.
- Open and sort incoming email, ensuring timely routing of payments and financial correspondence.
Human Resources & Employee Support
- Assist with new hire onboarding, employee file maintenance, and benefits coordination.
- Track employee attendance, payroll data, and performance metrics as directed.
- Maintain confidentiality in all HR and personnel matters.
- Support a positive, respectful, and team-oriented workplace culture.
Data Tracking, Reporting & Systems
- Develop and maintain spreadsheets and databases in MONDAY.com for tracking operations, performance, and warranty metrics.
- Generate dashboards, pivot tables, and visual reports for management review.
- Continuously seek opportunities to simplify and streamline administrative processes.
Inventory Management
- Maintain accurate inventory records for all materials and components using inventory management software.
- Conduct regular cycle counts and physical inventory audits to ensure accuracy and prevent shortages.
- Implement best practices for inventory control, including stock level monitoring, reorder points, and waste reduction strategies.
- Identify obsolete or excess inventory and work with management to optimize stock levels.
Qualifications
- Proven experience in office administration, operations coordination, or similar role.
- Working knowledge of Microsoft Excel, MONDAY.com, and standard office software.
- Experience with bookkeeping, title processing, or transportation industry compliance preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to handle multiple priorities in a fast-paced environment.
- Commitment to professionalism, confidentiality, and teamwork.
Preferred Experience
- Experience in the transportation, logistics, or driver training industry.
- Experience in manufacturing accounting
- Familiarity with FMCSA, CDL testing systems, and related compliance platforms.
- Social media and marketing coordination skills a plus.
Work Environment
- Full-time position in a professional office setting with regular interaction with instructors, testers, management, and students.
- Occasional light physical activity (lifting up to 25 lbs) for office organization or events.
