Role Overview & Expectations

Yellow Dog Software, the leader in inventory management software solutions, is hiring an Accounting Integrations Specialist to join our team in our Norfolk, VA office. Yellow Dog is trusted by leading hospitality organizations including resorts, casinos, universities, stadiums, restaurants, and entertainment venues. The platform integrates with hundreds of point-of-sale, accounting, and operational systems to streamline workflows and provide organizations with real-time visibility and control over their inventory.

The Accounting Integrations Specialist will be responsible for executing integration installations for new and existing clients in accordance with documented processes and product specifications.

This role ensures seamless client onboarding, accurate system configuration, and successful integration outcomes. Qualified candidates must be confident presenting virtually to a wide variety of clients. This person will serve as a trusted expert who can clearly articulate technical solutions and guide clients consultatively through complex concepts. Working hours and location for this role will be 8:30-5:00 in our HQ office.

Daily Responsibilities Include:

Ticket Review & Triage

  • Reviewing and triaging newly assigned tickets daily.
  • Reviewing customer or third-party responses received overnight.
  • Prioritizing tickets based on:
    • Urgency of response
    • Go-live date and due date
  • Prioritizing tickets with go-live dates within three weeks to ensure timely testing and completion.
  • Contacting clients within 24 hours of receiving a new ticket to maintain project momentum.
  • Responding to all client communications within 48 hours.

Client Follow-Up & Escalation

  • Engaging in timely follow up within 48 hours of the initial communication to maintain project momentum, including internal team members for visibility and optimal collaboration.
  • Closing tickets as unresponsive after 48 hours, notifying Sales and Implementation Guides within 24 hours of the status.
  • Requesting server access proactively to avoid delays.
  • Facilitating immediate client contact by phone for clarification when necessary.
  • Carefully managing and updating outlook calendars for optimal client engagement and team cohesion.

Ticket Completion & Documentation

  • Closing tickets only after the workbook is fully completed and proof of success is attached.
  • Submitting completed tickets for manager approval through the project management system.
  • Timely notification of PMs and Guides once integrations are fully complete.

Escalation Management

  • Reviewing escalated tickets daily for updates from Product and Development teams.
  • Updating installation tickets accordingly and communicate progress promptly to clients.
  • Notifying leadership immediately for support and resource alignment in the event of urgent escalations.

Meeting Preparation & Participation

  • Proactively prepare and present questions requiring assistance.
  • Facilitating solution-orientated discussions about potential roadblocks, dependencies, or risks.
  • Prompt notification of all stakeholders for urgent product-related issues.

Key Client Engagements

Ideal candidates will have a highly consultative and professional approach to every client interaction. You will be expected to confidently present to clients via Teams or Zoom, leading the client engagements as a trusted expert who can clearly articulate technical solutions and guide clients through complex concepts. Specific engagements include:

Kick-Off Calls

  • Establishing clear goals, scope, expectations, and milestone dates.
  • Confirming client responsibilities and required deliverables.

Installation Calls

  • Leading structured, efficient installation sessions.
  • Ensuring proper configuration, integration accuracy, and alignment with documented requirements.

Verification & Validation

  • Confirming integrations meet client requirements and contractual expectations.
  • Validating accuracy prior to go-live.
  • Communicating completion clearly to both internal stakeholders and the client.

Documentation Responsibilities

Specialists may be required to review, refine, or create documentation related to integration processes.

You are expected to proactively engage appropriate internal resources to ensure documentation is accurate, current, and aligned with best practices. High-quality documentation is a critical component of our operational excellence.

Qualifications:

  • Strong working knowledge of accounting platforms, with a solid foundation in QuickBooks is preferred.
  • Technical aptitude and systems orientation, including comfort working with databases, ERP platforms, integrations, and system configurations.
  • Experience supporting or implementing software integrations, onboarding processes, or client system setups.
  • Professional services or SaaS environment experience preferred, particularly in high-demand, client-facing roles.
  • Coursework or degree in Accounting, Finance, Information Systems or related field preferred.
