Accounts Payable Manager

Job Description

The Accounts Payable (AP) Processing Manager oversees the organization’s accounts payable operations, ensuring timely and accurate processing of invoices and payments, compliance with company policies and procedures, and effective team management. This role requires excellent leadership, organizational, and analytical skills to drive efficiency and maintain strong vendor relationships.

Essential Functions

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Assign and monitor team tasks to ensure timely and accurate processing.
  • Conduct performance reviews, provide feedback, and implement training programs to enhance team skills.
  • Ensure invoices and payments are processed in compliance with company policies and contractual terms.
  • Manage and resolve escalated vendor inquiries and payment disputes.
  • Identify opportunities to streamline and automate AP processes for increased efficiency.
  • Work with IS&T and other departments to implement system improvements or upgrades.
  • Monitor KPIs and prepare regular reports to assess and improve department performance.
  • Partner with procurement and finance teams to align processes and resolve issues.
  • Ensure compliance with company policies, accounting standards, and legal regulations.
  • Maintain and enhance internal controls to prevent errors, fraud, and mismanagement.

Competencies (Knowledge, Skills, and Abilities Required):

Deep knowledge of Accounts Payable operations and best practices; Experience with working in and understanding ERP software, such as PeopleSoft Ascent or Workday; Ability to make good decisions without input from department leadership; Ability to multi-task and quickly prioritize among multiple responsibilities in a fast-paced, high volume AP department; Excellent customer service skills; Unmatched coaching, mentoring and leadership qualities.
