Accounts Payable / Receivable Lead

Position Summary
The Accounts Payable / Receivable Lead is responsible for overseeing daily and monthly AP/AR operations, ensuring accurate expense allocation, effective management of vendor and customer accounts, and contributing to the overall financial health of the organization. This role requires a detail-oriented and highly organized professional with strong communication skills and the ability to balance multiple priorities. The position plays a key leadership role across several operational and financial functions within the company.

Key Responsibilities

Accounts Payable

  • Review and audit monthly vendor statements
  • Prepare and process vendor payments
  • Ensure accurate allocation of COGS and expenses
  • Manage tax-exempt certificates and adjustments
  • Upload batches to Positive Pay and review daily exceptions
  • Process end-of-month utility payments
  • Follow up with vendors to resolve discrepancies
  • Track credits for returned products
  • Audit and monitor house accounts
  • Oversee tool purchases and accurate recording

Accounts Receivable

  • Contact AR accounts and follow up as needed
  • Review and distribute monthly AR statements
  • Manage collections and bad debt resolution
  • Maintain accurate and up-to-date AR records

General

  • Support vehicle maintenance recording, purchases, repairs
  • Payroll data entry and sorting
  • PTO monitoring, recording, and reporting
  • Perform other tasks as assigned

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred)
  • Experience in Accounts Payable/Receivable or bookkeeping
  • Proficiency with accounting software (QuickBooks or equivalent) and Microsoft Office Suite
  • Strong organizational and time-management skills
  • Excellent communication and problem-solving abilities
  • High attention to detail and accuracy
  • Ability to maintain confidentiality of financial data
