Accounts Payable Specialist

Large Commercial Mechanical Contractor looking for an ACCOUNTS PAYABLE SPECIALIST to provide clerical support necessary to pay the obligations of the organization. Applies intermediate skills in performing any combination of keying, posting, and verifying duties to maintain primary financial data for use in payment, documenting, and reporting accounts payable activities. Performs duties under general supervision, referring only more complex issues to higher levels for resolution.

  • Matches invoices to purchase orders to verify information on all items submitted for payment. Verifies charges, approvals, appropriate coding, and payment terms. Enters data into the computer system from source documents to ensure the accurate and timely payment of the Company’s obligations.
  • Prepares and processes 3 check runs per month. Pays specialty vendors online as required and enters information into Accounting system.
  • Resolve discrepancies with buyers and vendors as needed to insure invoice processing is successful.
  • Coordinate with buyers and vendors on returns and insure credits are received.
  • Monitor vendor statements. Interact with project managers, purchasing agents and vendors to reconcile issues.
  • Reconciles and enters credit card statement, ensuring accurate coding and timely payment.
  • Responds to general inquiries from vendors, management, and team members regarding invoices or payments.
  • Establishes and maintains current vendor information in the computer system files.
  • May provide support to less experienced team members in resolving routine work related issues or special projects.
  • Performs other duties as assigned.
  • High School Diploma or GED equivalency required, AA or BS degree preferred.
  • Good PC skills in Windows environment to include Microsoft Office Suite.
  • Requires a minimum of 2 years of Accounts Payable work experience, preferably 5 years and in the construction industry.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve problems in standardized situations.
  • Good oral, written, and interpersonal communication skills necessary to interact effectively with both internal and external business contacts.
  • Ability to add, subtract, multiply, and divide in all units of measure to include, whole number, decimals, and common fractions. Familiarity with sales tax and percentages required.
  • Ability to handle tasks with concentration, speed, and accuracy to meet deadlines.
  • Ability to maintain professionalism in accordance with Company standards.
  • Must be an effective team member.

Job Type: Full-time

Pay: $18.00 - $23.00 per hour
