Purpose:

The primary role and purpose of the Accounts Receivable (“AR”) Specialist is to provide general accounting, bookkeeping and reporting functions on behalf of the Finance and Administration Department of the Conference. This includes processing, recording and managing daily deposits to bank accounts for all pension and healthcare payments, local church remittances and any other funds received (including but not limited to event registrations, miscellaneous donations, grants from external third parties and property sales). The AR Specialist will also be responsible for managing all aspects of the Conference Center mailroom.

Reports to: Treasurer

Functions:

· Manage and process all incoming checks and monies (cash and currency) for pension and healthcare payments, local church remittances, investment income, event registrations and all other receipts, on a timely basis

· Record payment amounts in AR sub-ledger for payees, churches, or individuals, properly applying into the relevant accounts

· Complete deposit captures into checking accounts; balance AR and check scan batches

· Manage and process Vanco (third party electronic payments processor) and Stripe payments

· Manage and update Advance Special and Conference Advance codes within Shelby, and underlying documents supporting the Conference website

· Provide Customer Service support for local churches and other payees relative to

remittance and/or statement related inquiries

· Investigate and reconcile church or payee questions or discrepancies

· Complete branch deposits for cash and currency

· Collaborate with Treasurer and Assistant Treasurer to ensure AR Sub-ledger balances agree with General Ledger balances and assist with bank account reconciliations

· Monitor AR Aging Reports for slow paying or delinquent accounts

· Prepare and distribute monthly pension and healthcare bills for local churches / salary paying entities and retirees

· Prepare and distribute monthly and quarterly “Giving” statements to local churches and year-end charitable donation reports

· Maintain neat and organized files for all source documents and other relevant supporting materials for deposit activity; complete scanning tasks in a timely fashion

· Process workers compensation payments; maintain detailed church salaries spreadsheet

· Facilitate the process to obtain and distribute PA Sales Tax Exemption Certificates

· Manage all mailroom functions, including mail pick-up / internal distribution, monitoring postage meter balances, processing mailings for statements, invoices and other needs

· Perform other accounting and recordkeeping functions as assigned

Qualifications:

· Minimum education: Associate’s Degree or equivalent work experience

· Experience: Five years relevant training and experience strongly preferred

· Proficient computer skills including internet navigation, Excel, Word, PowerPoint, Adobe, Outlook and Gmail

· Experience with financial accounting systems, with specific emphasis on Accounts Receivable and General Ledger modules

· Familiarity with Church Management software is preferred; Shelby Teller, Shelby Next Financials are a plus.

· Experience with online banking applications for remote deposit capture/management; including use of check scanning machines

· Understanding of third-party payment processors; Vanco and Stripe a plus

· Experience with Pitney Bowes mailroom equipment a plus

· Obtain and submit clearances as required
