Admin and Transport Coordinator is responsible for managing and coordinating transportation services for employees while also handling administrative tasks to support overall operations. This includes scheduling and optimizing routes, ensuring vehicle availability, maintaining records, and adhering to safety and company policies. The role also requires providing administrative support, documentation management, and effective communication with employees and other departments.
Transportation Planning and Scheduling
Develop and maintain schedules for employee pick-up and drop-off services.
Optimize routes to ensure timely transportation while minimizing costs and travel time.
Coordinate with drivers to manage vehicle assignments and shift rotations.
Administrative Support
Handle general administrative duties, including document preparation, filing, and data entry.
Maintain accurate records of transportation schedules, employee feedback, and administrative reports.
Assist in procurement and inventory management of office and transportation-related supplies.
Serve as the main point of contact for employees regarding transportation and administrative queries or concerns.
Communicate schedules, route changes, or delays to employees promptly.
Provide timely updates to management on transportation and administrative activities.
Address and resolve transportation-related issues, such as late arrivals, missed pick-ups, or employee concerns.
Compliance and Documentation
Ensure compliance with transportation safety standards, company policies, and administrative procedures.
Maintain accurate records, including driver logs, fuel reports, maintenance records, and administrative files.
Monitoring and Reporting
Track transportation performance metrics, such as punctuality, costs, and vehicle utilization.
Monitor driver performance and adherence to safety protocols.
Generate reports on transportation and administrative activities for management review.
Ensure that all vehicles are well-maintained and meet safety standards.
Monitor drivers' adherence to safety protocols and company policies.
Handle incidents, delays, or accidents promptly to mitigate disruptions.
Assist with implementing risk management strategies to ensure smooth operations.
Collaborate with HR, operations, and administrative teams to align transportation and admin services with employee and organizational needs.
Assist in onboarding new drivers and staff, providing training on company policies and procedures.
Work closely with the Admin Manager to improve operational efficiency.
