Job Summary
We are seeking a professional, organized, and proactive Admin Assistant to manage daily office operations, serve as the first point of contact for visitors and clients, and provide administrative and coordination support across departments and senior management. The role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Greet visitors and clients courteously, ensuring a welcoming and professional office environment.
- Handle all incoming calls, emails, and walk-in inquiries, directing them to the appropriate departments or personnel.
- Maintain visitor logs, staff attendance records, and front desk protocols.
- Manage meeting room schedules, ensuring rooms are clean, organized, and ready for use.
- Oversee office cleanliness and coordinate with janitorial and maintenance staff for timely support.
- Manage office supplies and inventory, coordinating with vendors for procurement and replenishment.
- Ensure smooth functioning of office utilities including printers, internet, and other equipment, and escalate issues when required.
- Provide administrative support to HR, Finance, Operations, and Marketing teams, including documentation, printing, filing, and coordination tasks.
- Support employee onboarding, internal meetings, events, and logistics arrangements as needed.
- Maintain petty cash records, process small disbursements, and track daily office expenses with proper documentation.
- Assist the finance team with invoice collection, scanning, sorting, and reconciliation with vendor records.
Requirements & Skills
- Bachelor’s degree preferred.
- 1–3 years of relevant experience in administrative, front desk, or coordination roles.
- Strong verbal and written communication skills in English and Urdu.
- Basic proficiency in Microsoft Word, Excel, and Google Calendar.
- Well-organized, detail-oriented, and able to manage multiple responsibilities simultaneously.
- Professional appearance, positive attitude, and strong problem-solving skills.
- Ability to maintain confidentiality and work independently with minimal supervision.
