About the Role

We are seeking a highly organized, proactive, and detail-oriented Admin Associate to support our Australian medicolegal operations. In this role, you will play a vital part in coordinating clinics, managing appointments, maintaining accurate records, and supporting the day-to-day administrative functions that enable our medical specialists to deliver outstanding medicolegal services.

This position is ideal for someone with excellent organizational skills, strong communication abilities, and a passion for delivering exceptional administrative support in a fast-paced environment.

Key Responsibilities

  • Provide comprehensive administrative support to daily medicolegal operations.
  • Coordinate doctor schedules, clinic appointments, and telehealth bookings.
  • Manage patient referrals, appointment confirmations, and clinic calendars.
  • Track case progress and maintain accurate documentation throughout the reporting process.
  • Organize, maintain, and update electronic records while ensuring confidentiality and data security.
  • Assist with billing, invoicing, and practice management systems.
  • Monitor workflow to ensure reports and administrative tasks are completed within required timeframes.
  • Prepare routine correspondence, reports, and administrative documentation.
  • Support operational projects and contribute to continuous process improvement.

Essential Requirements

  • Bachelor's or Masters degree in Business Administration, Healthcare Management,
  • or a related discipline.
  • Minimum 5 years' experience in an administrative role, preferably within healthcare,
  • medical, or medicolegal services. Preferred age 27 to 35.
  • Experience using healthcare practice management or billing systems (Gentu
  • experience will be highly regarded).
  • Advanced proficiency in Microsoft Office, particularly Word, Excel, Outlook, and
  • Adobe PDF.
  • Excellent organizational, multitasking, and time management skills.
  • Strong verbal and written English communication skills.
  • Ability to work independently while managing multiple priorities in a fast-paced
  • environment.
  • High level of professionalism, discretion, and commitment to confidentiality.
  • Strong attention to detail and commitment to accuracy.
