Admin Executive

We are looking for a proactive and organized Admin Executive to manage day-to-day office administration, facility management, and provide support to HR, IT, etc.

Job Summary:

We are looking for a proactive and organized Admin Executive to manage day-to-day office administration, facility management, and provide support to HR, IT, and our Dubai office.

Key Responsibilities

· Office & Facility Management

1. Oversee general office operations, cleanliness, and maintenance.

2. Supervise housekeeping staff to maintain hygiene and professional standards in all office areas.

3. Manage pantry services and coordinate with food vendors to ensure quality, hygiene, and timely delivery.

4. Monitor office supplies, utilities, and furniture; ensure timely procurement and maintenance.

5. Coordinate with external service providers (maintenance, courier, printing, etc.).

· Vendor & Contract Management

6. Manage and evaluate contracts with food, maintenance, and utility vendors.

7. Negotiate costs and ensure timely service delivery.

8. Maintain updated vendor information and service agreements.

· Asset & Inventory Management

9. Maintain accurate records of company assets and inventory in ERP or administrative software.

10. Oversee issuance and return of assets during onboarding/offboarding.

11. Coordinate with IT and HR for asset allocation, tracking, and replacement.

· Travel, Logistics & Event Management

  • Arrange travel, accommodation, and transportation for staff and visitors.
  • Manage visa applications, flight bookings, and travel documentation.
  • Plan, coordinate, and execute internal events, meetings, and engagement activities.
  • Support employee engagement initiatives, celebrations, and company events in coordination with HR and management.

· Administrative & ERP System Support

14. Maintain administrative data, reports, and approvals through ERP systems or office management software.

15. Generate reports related to asset utilization, vendor performance, and administrative expenses.

16. Support HR and Finance with documentation and digital recordkeeping.

· Compliance & Recordkeeping

17. Maintain updated files for contracts, licenses, and insurance.

18. Ensure adherence to company policies and compliance standards.

19. Support internal and external audits by providing administrative records as required.

20. Any task assign by management from time to time.

Required Skills & Qualifications

· Bachelor’s degree in Business Administration or a related field.

· 2–4 years of experience in office administration, facility, or vendor management.

· Experience with ERP systems (Frappe, SAP, Oracle, or similar) or any administrative software for asset and facility management.

· Strong organizational and multitasking skills.

· Excellent communication and interpersonal skills.

· Proficiency in MS Office (Excel, Word, Outlook).

· Ability to handle confidential matters responsibly
