Worldwide Word Travel & Tourism LLC is looking for a reliable, organized, and detail-oriented Admin, HR & Accounts Assistant to join our growing travel and tourism company in Dubai.
The ideal candidate will support daily office administration, basic HR coordination, invoice preparation, payment tracking, petty cash records, supplier/client document filing, and general accounts support. This role requires someone who is disciplined, trustworthy, fast with documentation, and able to work in a structured office environment.
Key Responsibilities Administration
- Manage daily office administration and internal coordination.
- Maintain proper filing of company documents, supplier records, invoices, client documents, agreements, and rate sheets.
- Prepare letters, memos, forms, reports, and internal documents when required.
- Handle scanning, printing, document organization, and general office support.
- Coordinate office supplies, petty cash records, and administrative expenses.
- Support management with daily operational follow-ups.
HR Support
- Track staff attendance, lateness, leave, and absences.
- Maintain staff records and HR-related documents.
- Assist with internal notices, staff reminders, and office communication.
- Support onboarding documentation for new staff when required.
Accounts Support
- Record client payments, supplier payments, office expenses, petty cash, and receipts.
- Prepare and issue invoices when required.
- Track pending receivables and payables.
- Maintain daily payment and expense logs.
- Coordinate with management/accountant on financial records.
- Ensure all receipts, invoices, payment proofs, and expense documents are properly filed.
Travel Company Support
- File supplier trade licenses, contracts, rate sheets, payment terms, and client documents.
- Support the travel consultants with documentation for bookings, visas, tours, hotels, transfers, and packages.
- Help keep internal records updated and organized.
- Assist with CRM/task management updates when required.
Requirements
- Previous experience in admin, accounts assistance, HR support, office coordination, or a similar role.
- Good knowledge of Microsoft Office, Excel, Word, Google Sheets, email, and basic reporting.
- Strong attention to detail and accuracy.
- Good communication and follow-up skills.
- Ability to handle confidential information responsibly.
- Organized, proactive, and able to work under pressure.
- Must be available to join immediately or on short notice.
- Experience in a travel agency, tourism company, corporate services company, or UAE office environment is an advantage.
Preferred Skills
- Basic bookkeeping or accounting knowledge.
- Experience preparing invoices and tracking payments.
- Familiarity with CRM systems such as Bitrix24 is an advantage.
- Ability to organize documents and reports with minimal supervision.
- Professional attitude and strong sense of responsibility.
