Job Title: Administrative Manager – Luxury Residential Apartments

Location: Gulberg, Lahore
Employment Type: Full-Time
Department: Administration / Property Management
Reports To: General Manager / Director – Property Operations

About the Role:

We are seeking a proactive, detail-oriented, and experienced Administrative Manager to oversee the day-to-day administrative operations of a luxury residential apartment complex. This individual will play a key role in ensuring seamless functioning of all backend operations, vendor coordination, resident services, record-keeping, and staff supervision to uphold the premium standards of the property.

Key Responsibilities:1. Administrative Operations:

  • Manage the front office, reception, and all administrative support functions.
  • Oversee resident records, lease documentation, and regulatory compliance.
  • Maintain accurate and up-to-date databases (tenants, vendors, service contracts, etc.).
  • Implement and monitor SOPs to ensure smooth office and property operations.

2. Vendor & Staff Coordination:

  • Coordinate with housekeeping, security, landscaping, and maintenance service providers.
  • Supervise on-site administrative staff and ensure efficient task delegation.
  • Handle procurement of office supplies and facilities-related equipment.

3. Resident Support & Communication:

  • Act as a point of contact for residents for administrative issues and service requests.
  • Ensure timely communication of notices, circulars, and community updates.
  • Support in organizing community events and ensuring a premium living experience.

4. Compliance & Documentation:

  • Maintain compliance with local housing regulations, fire safety, and other statutory norms.
  • Ensure proper documentation for all licenses, insurance, and legal papers.
  • Prepare regular reports for management on operational and administrative performance.

5. Budgeting & Reporting:

  • Assist in budget preparation for administrative and facility needs.
  • Track expenses, ensure cost control, and maintain vendor payment schedules.

Key Requirements:

  • Education: Bachelor's degree in Business Administration, Property Management, or a related field. MBA preferred.
  • Experience: Minimum 5–7 years in an administrative or operations role; at least 2 years in a real estate/residential/luxury property management setting.
  • Skills:
  • Strong organizational and leadership skills
  • Excellent written and verbal communication
  • Proficiency in MS Office, ERP or property management software
  • High attention to detail and ability to multitask
  • Knowledge of real estate operations and vendor management
