Job Description – Admin Manager (Construction & Real Estate)Position: Admin Manager

Industry: Construction & Real Estate

Location: Madhavaram

Reporting to: Head – Human Resources

KEY RESPONSIBILITIES AREA (ADMIN MANAGER)

1. Office & Site Administration

· Oversee administrative operations at both site offices and head office.

· Ensure smooth coordination between project sites, contractors, consultants, and HO.

· Manage office infrastructure, utilities, IT support, and facility services.

2. HR & Workforce Support

· Support HR in recruitment logistics, onboarding, attendance, and manpower deployment at sites.

· Maintain records of staff, labor compliance, and contractors’ statutory documents (PF, ESI, labour licenses).

· Address employee grievances related to site facilities, travel, and accommodation.

3. Vendor Management

· Identify and onboard vendors for admin-related services (transport, housekeeping, security, canteen, accommodation, etc.).

· Negotiate contracts, monitor vendor performance, and ensure cost-effective solutions.

· Maintain AMC records, lease agreements, and service contracts.

4. Facility & Asset Management

· Oversee site accommodation, guest house, canteen, and transportation arrangements.

· Maintain fixed asset records, office supplies, housekeeping materials, and stationeries.

· Implement safety, security, and housekeeping standards at offices and project sites.

5. Compliance & Documentation

· Ensure statutory compliance related to admin activities, labor welfare, and contract workforce.

· Maintain updated records of licenses, permits, insurance, and agreements.

· Assist in audits, inspections, and compliance reporting.

6. Cost & Budget Control

· Prepare and monitor the annual administrative budget.

· Control expenses by effective procurement and resource management.

Submit regular MIS reports on administrative costs and vendor payments

Key Skills & Competencies

  • Strong organizational and multitasking skills.
  • Knowledge of real estate & construction site administration.
  • Vendor negotiation and contract management skills.
  • Familiarity with statutory compliances (Factories Act, Labour Laws, PF/ESI, etc.).
  • Excellent interpersonal and communication skills.
  • Proficiency in MS Office, ERP systems, and admin management software.

Qualifications & Experience

  • Bachelor’s degree in Business Administration / Management / Commerce (MBA preferred).
  • 7–12 years of experience in administration, with at least 3–5 years in construction/real estate industry.
  • Experience in managing multi-location sites, large workforce, and vendor ecosystem.
