Admin Officer

Job Purpose

The Administrative Assistant – Partnerships will support the Business Development and Partnerships team in researching potential employers, coordinating outreach activities, scheduling meetings, and maintaining an organized database of partners. The role requires strong communication skills, initiative in outreach, and the ability to represent the company during employer visits.

Key Responsibilities

Research & Outreach

  • Research and identify potential employers and partnership opportunities.
  • Conduct cold calls and follow-up communication with prospective partners.
  • Assist in preparing and delivering presentations during employer visits.

Scheduling & Coordination

  • Arrange and manage meetings (onsite and virtual) using Google Calendar and Google Meet.
  • Coordinate with the BDM on meeting schedules, logistics, and follow-ups.
  • Ensure timely preparation of documents, proposals, and presentation materials.

Database & Systems Management

  • Maintain an updated database of prospective and existing employers.
  • Track partnership progress, outreach activities, and meeting outcomes.
  • Utilize internal systems or CRM tools for record-keeping and reporting.

Communication & Presentation

  • Support the BDM in employer visits and presentations when required.
  • Draft professional correspondence including proposals, reports, and follow-ups.
  • Represent the company in a professional manner with external stakeholders.

General Support

  • Provide administrative support to the BDM, Manager, or CEO as required.
  • Assist with the preparation of partnership reports and performance summaries.
  • Undertake additional tasks as assigned to support business development activities.

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Marketing, Communications, or related field (preferred).
  • Prior experience in administration, client relations, or business development support.
  • Strong verbal and written communication skills.
  • Confident in cold calling and external stakeholder interaction.
  • Proficiency with Google Workspace (Docs, Sheets, Calendar, Meet, Slides).
  • Good presentation skills; comfortable speaking in meetings and employer visits.
  • Highly organized, detail-oriented, and able to multitask effectively.
  • Flexible, proactive, and able to work independently or in a team.

Compensation & Benefits
