Job Summary

The Admin Specialist is responsible for providing comprehensive administrative and operational support to business functions, ensuring efficient office operations and high-quality support services. The role focuses on improving operational efficiency, maintaining compliance, coordinating logistics, managing vendors, and supporting SAP-based administrative processes.

Qualifications

· Bachelor's degree in Business Administration or an equivalent discipline.

· Minimum 10 years of experience in administrative support or administration specialist roles.

· Minimum 5 years of experience working in a multinational company (MNC).

· Working knowledge of SAP, including Material Master, Purchase Requisitions (PR), Purchase Orders (PO), and invoice/payment processes.

· Advanced proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.

Key Responsibilities

· Provide day-to-day administrative support to business functions and leadership.

· Manage office stationery procurement, inventory, distribution, tracking, and reporting.

· Coordinate travel arrangements, accommodation bookings, and related logistics.

· Prepare reports, presentations, correspondence, and organizational documents.

· Documentation & Records Management

· Compile, verify, analyze, and present information for management reporting.

· Transportation & Logistics Coordination

· Maintain logistics records and prepare periodic reports.

· Training & Vendor Management

· Coordinate mandatory training programs and medical examinations with external service providers for onshore and offshore personnel mobilization.

· Arrange OMFC medical cards and related documentation.

· Track employee training records, gate pass validity, and certification expiry dates, and coordinate timely renewals.

· Coordinate Safety Induction and Permit to Work (PTW) training sessions.

· Liaise with external vendors to ensure timely and quality service delivery.

· Compliance & Executive Support

· Serve as the primary point of contact for administrative enquiries via phone and email.

· Prioritize requests and respond appropriately based on urgency.

· Provide confidential administrative support to management and business leaders.

· Ensure compliance with company policies, internal controls, and administrative procedures.

· Facility Coordination

· Coordinate with Integrated Facility Management, Country Administration, and Human Resources on office and facility-related matters.

· Support workplace maintenance and operational requirements.

· Organize internal and external business events, meetings, workshops, and conferences.

· Coordinate travel, accommodation, visitor arrangements, conference registrations, and event logistics.

· Support Material Master creation and maintenance in SAP.

· Create and process Purchase Requisitions (PRs) and support Purchase Order (PO) activities.

· Coordinate bank guarantee documentation and processing.

· Manage facility utility documentation, including energy bill administration.

· Support invoice verification and payment coordination.
