Your Responsibilities

We are looking for a motivated and reliable Administration Assistant to join our Dubai team at the earliest possible date of entry. The role combines government liaison and visa processing duties with back-office support in accounting and sales administration.

The ideal candidate has a solid understanding of UAE government procedures and enjoys working in a dynamic business environment that requires accuracy, coordination, and communication across departments.

Public Relations / Government Liaison:

  • Handle all government-related tasks including visa applications, renewals, Emirates ID, labour and immigration procedures.

  • Business travel booking and visa preparations

  • Organization of guest accommodations and event planning

  • Coordinate with free zone or mainland authorities, ministries, and other official entities.

  • Maintain updated records of employee and company documentation (licenses, visas, permits).

  • Ensure compliance with UAE labour and immigration laws.

Accounting Support:

  • Assist with invoice preparation, payment follow-ups, and data entry in the accounting system.

  • Support the finance team with expense tracking, petty cash management, and document filing.

  • Coordinate with suppliers for invoice submissions and payment confirmations.

Sales Back Office:

  • Create quotations, proformas, and offers in the company’s ERP system.

  • Support the sales team with order tracking, documentation, and customer correspondence.

Requirements

Your Profile

The ideal candidate will have the following profile:

  • Proven experience as an Administration Assistant or similar function in Dubai (minimum 3 years).

  • Familiarity with UAE labour, immigration, and visa regulations.

  • Basic knowledge of accounting principles and ERP systems (Microsoft Dynamics experience is a plus).

  • Good organizational and multitasking skills with attention to detail.

  • Strong communication in English; Arabic is an advantage.
