Administration Assistant

Job Overview

We are seeking a highly detail-oriented Administrative Assistant to provide direct administrative and operational support to two Directors. This role is ideal for someone who is organized, proactive, and thrives in a fast-paced, multi-priority environment. Accuracy, follow-through, and professionalism are essential.

This role involves managing front desk duties, handling correspondence, and supporting various administrative functions to ensure smooth daily operations. Experience with office software such as Microsoft Office, Google Workspace, and QuickBooks is preferred. Bilingual skills are a plus to assist diverse client interactions. The position offers an engaging environment for those looking to contribute to a professional team while developing their administrative expertise.

Key Responsibilities

  • Provide daily administrative support to two Directors
  • Manage calendars, scheduling, and meeting coordination
  • Prepare, organize, and maintain documents, records, and reports
  • Track deadlines, follow-ups, and action items with precision
  • Handle correspondence (email, phone, written communication)
  • Assist with data entry, filing systems, and record accuracy
  • Support special projects and operational tasks as assigned
  • Maintain confidentiality and professionalism at all times

Experience

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar bookkeeping software is advantageous
  • Excellent organizational skills with the ability to multitask effectively
  • Bilingual abilities are highly desirable to facilitate communication with diverse clients
  • Demonstrated phone etiquette, data entry accuracy, and proofreading skills
  • Familiarity with clerical tasks such as filing, document management, and calendar coordination
  • Ability to handle sensitive information discreetly and maintain confidentiality
